Legal Administrative Assistant
Job Title: Legal Administrative Assistant
Job Responsibilities:
- Manage core legal secretarial and administrative tasks, including conflict checks, client matter opening, electronic approvals, and administrative duties such as travel arrangements, calendaring, deposition coordination, and conference room reservations.
- Create and edit complex documents, spreadsheets, and presentations.
- Troubleshoot documents, answer questions, and provide technical help when required.
- Clean-up and format scanned documents and proofread work for accuracy.
- Responsible for document preparation, editing, file maintenance, and monthly client billing/proformas.
- File electronic court filings, pleadings, and process mail.
- Handle administrative confidential/sensitive firm and/or client information.
- Collaborate effectively with team members to ensure all requests are completed successfully and meet the needs of both attorneys and the firm.
- Duties may be ongoing or ad-hoc in nature.
Education and Experience Information:
- The ideal candidate will possess a minimum of 1 - 2 years of litigation experience in a mid to large sized law firm and be proficient in legal secretarial and administrative tasks.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook), Intapp, iManage, Chrome River, and a solid ability to learn and adapt to new software programs are essential.
- Possess exceptional organizational skills, prioritize effectively, and thrive in a fast-paced environment.
- Discretion and a commitment to confidentiality are paramount.
- Excellent written, oral, and interpersonal communication skills to build strong relationships with attorneys, clients, and colleagues.
- The candidate must work independently with some supervision and occasional overtime.
- Bachelor's Degree preferred.
- Notary a plus.
Salary Information:
- New York Only DOE: $80,000 - $100,000
