Job Title: Office-Based Legal Administrative Assistant
Job Responsibilities:
- Document Coordination: Manage incoming legal documents such as Employment Authorization Documents (EAD) and SSN cards, track them in internal systems, and ensure accurate and timely distribution in coordination with the Billing Team.
- Mail Processing: Print and prepare case packages for mailing, act as signatory when required, and ensure all physical correspondence is properly documented and delivered.
- Administrative Support: Assist with document preparation, check handling, and other administrative tasks carried out on behalf of firm leadership.
- Check Tracking: Record incoming checks delivered to the office and promptly communicate relevant details to the Billing Team.
- Document Scanning and Distribution: Scan incoming legal notices (., RFEs) and ensure the correct internal recipients are notified for follow-up.
- Client Reception and Assistance: Welcome clients to the office, provide initial support, and guide them to appropriate personnel when necessary.
- Mail Review and Prioritization: Review scanned mail received from the general office inbox, flag urgent matters, and forward important documents to the appropriate team members.
Education and Experience Information:
- Fluency in Turkish is required, as many of the internal communications and client interactions involve the Turkish language.
- Previous experience in legal or administrative roles is preferred.
- A law degree is not required, but would be considered a strong asset.
- Excellent organizational and communication skills.
- Proficiency in Microsoft Excel and digital document systems.
- Professional demeanor with a client-focused mindset.
- Authorized to work in the . and able to work onsite full-time.
