Job Title: Legal Administrative Assistant

Job Responsibilities:
The Legal Administrative Assistant and Receptionist at the law firm is tasked with a comprehensive set of responsibilities aimed at supporting the legal team and ensuring smooth front-office operations. Key responsibilities include managing the main phone line by answering and routing incoming calls, supporting attorneys with project coordination through organizing case files and tracking critical deadlines, and reviewing and proofreading legal documents for accuracy, clarity, and compliance with applicable laws. The role involves transcribing legal documents, correspondence, and meeting notes accurately, drafting contracts and legal documents under attorney supervision, and maintaining well-organized physical and electronic filing systems. Additionally, the assistant conducts client intake interviews to collect essential case information and provides high-level administrative support, including scheduling meetings and managing attorney calendars. Preparing the reception area and office for daily operations, welcoming and assisting guests and clients professionally, accepting, sorting, and distributing mail and packages, and completing printing, copying, and document production tasks are also essential duties. The assistant may perform additional administrative duties as required to support the team.

Education and Experience Information:
Candidates for the Legal Administrative Assistant position should possess strong project management skills with the ability to prioritize and manage multiple tasks efficiently. Excellent proofreading skills with a sharp eye for accuracy and detail are essential. While prior experience in litigation is preferred, it is not a mandatory requirement. Exceptional writing abilities to produce clear, concise, and professional legal correspondence are necessary, as is proficiency in legal drafting techniques and an understanding of legal terminology. The ability to maintain organized, accessible filing systems (both electronic and physical) is crucial. Effective interviewing and communication skills for gathering detailed information from clients or witnesses are required, along with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal practice management software. Candidates must demonstrate the ability to maintain strict confidentiality and exercise sound judgment, possess a professional demeanor with strong interpersonal skills and a client-focused approach, and show the ability to adapt quickly in a fast-paced legal environment while remaining calm under pressure. Strong time management skills and a proactive attitude toward problem-solving are also important. Dependability, punctuality, and a commitment to delivering high-quality administrative support are necessary traits for success in this role.

Salary Information:
The law firm offers a starting salary of $50,000 to $65,000, based on experience. After a 90-day probation period, employees may be eligible for a raise based on performance. 401(k) eligibility begins after one year, and all other benefits start after the probation period.
