Job Title: Attorney Practice Coordinator
Job Responsibilities:
The Attorney Practice Coordinator is tasked with coordinating and executing high-level tasks to support the practices of multiple attorneys. The role requires excellent time management, communication, and organizational skills, as well as extensive knowledge of state and federal judicial systems and agency procedures in labor and employment law. Responsibilities include:
- E-filing documents with State and Federal courts and agencies in accordance with applicable rules.
- Timely and accurate filing in NetDocuments.
- Verifying court and other deadlines and alerting attorneys.
- Creating and finalizing Tables of Contents (TOCs) and Tables of Authorities (TOAs).
- Coordinating and finalizing documents for filing with courts or administrative agencies, and service upon other parties.
- Coordinating attorney support from the Attorney Resource Team and other corporate departments, including calendar and billing teams.
- Ensuring accurate and complete submissions to the Attorney Resource Team, including thorough instructions and documentation.
- Communicating with the case team to prevent duplicate requests to the Attorney Resource Team.
- Creating and updating litigation matters in Virtual Binder.
- Accurately creating and submitting New Client Matters (NCM) within firm standards.
- Coordinating transcription of audio recordings.
- Coordinating the printing and assembling of documents with office services personnel.
- Maintaining attorney contact lists through Outlook and the Client Relationship Management system (InterAction).
- Timely submission of a daily task log identifying projects and assignments.
- Potentially reviewing and revising client pre-bills.
Education and Experience Information:
The position requires a minimum of 5-7 years of experience as a litigation secretary. A Bachelor's degree is preferred. The candidate must be highly organized, capable of supporting multiple attorneys’ practices, and effectively coordinate multiple tasks and requests. Strong time management expertise is essential, as is the ability to prioritize and anticipate practice needs. The role requires strong written and verbal communication skills to effectively interact with internal and external parties. Advanced knowledge and proven expertise using Best Authority to produce TOCs and TOAs is necessary. The candidate should possess extensive knowledge of court rules and ECF procedures, demonstrate proficiency in using MS Office, Outlook, and Adobe, and have experience with document management systems such as NetDocuments. Expertise in Big Hand to create compliant legal documents and correspondence and knowledge of legal terminology are also required.
Salary Information:
Pursuant to California regulation, the salary range for this position is to hourly, contingent on relevant experience and education. The law firm offers generous compensation and benefits packages.
