Job Responsibilities
The Secretary is tasked with providing support to assigned partners, counsels, associates, paralegals, and/or senior management by performing a variety of essential duties. The role requires working Monday through Friday, from 8:30 AM to 5:00 PM, with an onsite presence from Tuesday through Friday. The key responsibilities include:
- Answering multiple phone lines, screening, and directing calls as appropriate
- Assisting new associates in navigating the law firm's departments and resources
- Maintaining calendars, contacts, working group lists, scheduling meetings, and arranging conference/teleconference calls
- Receiving assignments and performing tasks as requested, providing updates on receipt and status of tasks/projects, and consistently meeting agreed-upon deadlines
- Assisting with the maintenance and management of physical and electronic files
- Creating, revising, and proofreading letters and various legal documents
- Creating and maintaining attorney files in both print and digital formats
- Supporting attorneys in all aspects of client onboarding
- Arranging travel, transportation, and accommodations via the Internet and/or through the law firm's travel department
- Coordinating with Conference Services when scheduling meetings for room reservations, food/beverages, and audio/visual equipment needs
- Preparing and processing client bills while working closely with the Billing department
- Processing expenses through the law firm's expense application (Chrome River)
- Preparing attorney diaries through the law firm's diary application (Intapp)
- Providing backup coverage for other secretaries and reception
- Performing other duties as assigned
Education and Experience Information
Required Education
- High School diploma or GED equivalent
Preferred Education
- Associate’s degree preferred
Required Skills and Experience
- Ability to effectively present information verbally and in writing
- 1 to 2 years of secretarial experience in an office environment
- Ability to type 50+ words per minute; skilled typing ability and knowledge of personal computers, software, and related applications and systems
- Proficiency in MS Word
- Basic math skills: addition, subtraction, multiplication, division
- Strong attention to detail
- Collaborative team-working ability
- Ability to use diplomacy and discretion in relaying information
- Organizational skills to prioritize, plan, and multi-task work activities, with the ability to meet deadlines in a high-pressure environment
Preferred Skills and Experience
- Basic knowledge of MS Excel and PowerPoint
Salary Information
For the Los Angeles area, the estimated base salary range for this position is $70,000 to $80,000 at the time of posting. The actual salary offered will depend on a variety of factors, including the qualifications of the individual applicant, years of relevant experience, level of education attained, certifications or other professional licenses held, and, if applicable, the location from which they will be performing the job. This role is non-exempt, meaning it is eligible for overtime pay.
