Job Title: Conference Center Coordinator
Job Responsibilities:
The Conference Center Coordinator is responsible for providing clerical, secretarial, and administrative support to attorneys and clients at the law firm's Midtown Conference facility. Key responsibilities include:
- Meeting and greeting attorneys and clients in a professional and hospitable manner, providing guidance and information as needed.
- Acting as the primary point of contact for all users, coordinating events from start to finish, while maximizing space and considering client needs.
- Professionally handling all incoming calls, ensuring they are appropriately redirected, and coordinating conference calls upon request.
- Providing administrative support by typing, proofreading, photocopying, faxing, and filing documents as requested.
- Operating computer and scanning/duplicating machines.
- Leading the planning and coordination of services related to in-office meetings and special events, collaborating with the Facilities Coordinator and Manager regarding conference setups.
- Ensuring conference rooms are cleaned, reset, and prepared for the next day’s use.
- Supporting the A/V and IT Teams for the setup of calls and presentations.
- Supervising requirements such as menus, visitor management, deliveries, and security.
- Collaborating with various departments to develop and maintain protocols for requests.
- Assisting the Event and Marketing teams in planning and executing seminars, meetings, and training events.
- Making travel arrangements and ordering car services for attorneys and clients as needed.
- Reviewing vendor bills for accuracy and processing them for payment.
- Arranging for special delivery of items and transporting materials to/from the building.
- Keeping the Manager of the Midtown Conference Center informed of sensitive issues and problems.
- Willingness to work a varied schedule, including early mornings and late evenings, to support events.
- Performing other related duties as required.
Education and Experience Information:
Candidates for the Conference Center Coordinator position should possess:
- The ability to communicate effectively with attorneys, professional staff, and peers.
- Excellent verbal, written, spelling, and grammar skills.
- Professional demeanor and appearance at all times.
- High degree of integrity and the ability to work independently with minimal supervision.
- Strong multitasking skills, the ability to handle and prioritize multiple assignments, and work under pressure to meet tight deadlines.
- Good judgment, high accuracy, resourcefulness, detail orientation, organization, problem-solving skills, and customer service orientation.
- Excellent telephone etiquette, initiative, dependability, and pride in their work.
Technical Skills:
While proficiency with various software programs is a plus, the law firm will provide training. Familiarity with Word, Excel, Outlook, Rendezvous, and HUB Portal is advantageous.

Salary Information:
The salary for the Conference Center Coordinator position in New York ranges from $55,000 to $65,000 USD. The actual salary offered will be based on various factors, including the applicant's qualifications, relevant experience, education level, certifications or professional licenses, and the location from which the applicant will be performing the job.
