Job Title: Legal Secretary

Job Responsibilities:
The Legal Secretary will join the Litigation team at the law firm and provide complex and specialized secretarial and clerical support to assigned attorneys and paralegals. The key responsibilities include:

- Preparing documents to support timekeepers, which may involve transcribing from dictation, drafts, handwritten notes, or oral instructions, as well as redlining and proofreading the end product.
- Handling all incoming telephone calls and making outgoing calls in a professional manner.
- Maintaining good client relationships for attorneys.
- Reviewing, date stamping, docketing, and routing incoming correspondence and pleadings.
- Entering time using IntApp daily and maintaining appropriate records.
- Creating and maintaining files, including chronological files and indexes not stored in the Information Governance department, and ensuring they are up-to-date and organized. Forwarding materials to the Information Governance department as necessary.
- Completing all document processing and correspondence assignments accurately and within the stated timeframes of timekeepers.
- Assisting other secretaries and timekeepers as needed.
- Preparing New Business Forms for new and existing clients, conflict sheets, and engagement letters.
- Preparing and processing expense reports, check requests, travel reimbursements, health club reimbursement forms, etc., in accordance with accounting guidelines.
- Arranging Messenger Service, Copy Center, and facsimile requests as needed.
- Copying documents not appropriate to send to the Copy Center.
- Consistently using the CRM tool to support business development in the firm, including taking ownership of contact information for attorney’s contacts, updating, maintaining, and resolving conflicts within the CRM tool.
- Making necessary travel arrangements, adhering to the firm’s Travel Policy.
- Reviewing and handling prebills.
- Maintaining current secretarial backup instructions and client/matters lists.
- Maintaining attorney/paralegal calendar, including scheduling and coordinating meetings.
- Coordinating internal procedures and compiling backup materials for attorney/paralegal preparation of audit letter responses.
- Reconciling telephone charge reports for office and cellular phones.
- Typing a variety of litigation pleadings and discovery documents, arranging for filing and service of documents, and electronically filing and serving court documents as required by state, Federal, and local rules.
- Maintaining docket for various pleadings prepared and/or received.
- Performing legal research if requested.
- Executing all other duties as assigned or required.

Education and Experience Information:
Required:
- After orientation at the law firm, proficiency in the Microsoft Office suite, iManage, and other firm applications.
- Availability to work overtime as required.
- Fast and accurate typing skills.
- Familiarity with court rules and procedures and understanding of legal terminology.

Preferred:
- Previous litigation secretarial experience.
- A college degree or business college certificate.

- Ability to work independently and as part of a team in a fast-paced environment for multiple supervisors, meet deadlines, and maintain flexibility with work assignments (including changes in attorney/paralegal assignments) and work schedule.
- Ability to organize and prioritize work assignments and delegate tasks to service departments when necessary.
- Demonstrating initiative, diplomacy, and tact.
- Possessing excellent written, communication, and proofreading skills with attention to detail.
- Functioning in a professional and polite manner when dealing with clients, co-workers, court personnel, and others.
- Being reliable, committed, and punctual.

Salary Information:
The law firm offers a competitive compensation and excellent benefits package and is committed to fair and equitable employment practices. The expected hourly pay range for this position with a work schedule of hours per week is - , which translates to an annual salary of $62, - $91,. The final offer amount will depend on geographic location, applicable experience, and skillset of the candidate.
