Job Title: Legal Assistant (Litigation / L&E)

Job Responsibilities:
The Legal Assistant is responsible for providing comprehensive legal and administrative support to attorneys in the Litigation and Labor & Employment (L&E) practice areas. Key responsibilities include managing a dynamic schedule of appointments, meetings, video calls, and travel arrangements for attorneys. The role involves processing new client and matter documentation, including initiating conflict checks, entering information into the law firm's new business intake system, and preparing engagement letters for clients. The assistant will compose and prepare confidential correspondence, transcribe, type, edit, proofread, and finalize legal documents, correspondence, memos, charts, billing, and reports. Maintaining and organizing both hard-copy and electronic files is a crucial part of the job. The assistant will respond to and resolve questions or concerns from clients and other attorneys promptly and professionally. They will prepare and submit personal and client-related attorney expense reports and manage reimbursements using the firm's expense management software, Chrome River. Additionally, the assistant will enter time into time management software on behalf of timekeepers, create reports using Excel, and communicate with clients about billing issues and the status of matters. Tracking and filing continuing legal education (CLE) credit for assigned timekeepers is also part of the job. The assistant will assist with civic, charitable, community, and professional development activities, docket and track litigation using Court Alert software, and e-file in Illinois, Wisconsin, and California Courts.

Education and Experience Information:
The position requires a minimum of a High School Diploma or equivalent, although a Certificate or Undergraduate Degree is strongly preferred. Candidates should have 5+ years of experience in a legal environment, preferably within the litigation and/or L&E practice areas. The role demands the ability and willingness to work in the office four to five days per week. Candidates should demonstrate a professional demeanor and a willingness to work proactively as part of a team across various practice groups. Exceptional communication skills via phone, email, and in-person are essential, along with strong organizational and process skills, focused attention to detail, and the ability to identify inaccuracies and inconsistencies in documents. Technology Requirements:
The role requires technology literacy and a willingness to learn innovative technologies and software. Advanced proficiency in Microsoft Office is necessary. Experience with software such as iManage or similar electronic document management systems, DocuSign or similar e-signature programs, iTimekeep or similar electronic time management systems, Chrome River or similar expense report and reimbursement software, electronic billing software, and CourtAlert is a plus.

The position demands the ability to learn and embrace new skills and best practices as the position and law firm evolve. The assistant must work quickly and accurately under pressure with varying deadlines, independently and as part of a team, and must be able to multi-task, set priorities, manage time effectively, and exhibit excellent follow-up.

The assistant should have the ability to develop relationships and foster teamwork at all levels of the law firm and the willingness and ability to work proactively in a team environment, across various practice groups and/or locations.

Excellent interpersonal skills and the ability to work effectively with a diverse group of internal and external clients, attorneys, and staff are crucial. The role requires excellent oral and written communication skills.

Problem Solving Skills:
The assistant should have the ability and confidence to identify and analyze issues, make decisions, and initiate actions or solutions. Agility in responding to unexpected challenges, including proactively developing innovative solutions to complex problems, is important.

Professionalism:
The position requires the ability to maintain composure and demonstrate good judgment, manage confidential information, and handle sensitive situations with tact and discretion.

Salary Information:
For Illinois applicants, as required by the Illinois Equal Pay Act, the annual compensation range for this position in the Chicago office is between $55,000 and $85,000. Compensation is determined based on qualifications and experience. This position is considered full-time and is eligible for employer-sponsored benefits, including medical, dental, vision, as well as elective/voluntary life, disability, and accident coverage. All full-time employees are eligible to participate in the law firm's 401(k) plan.
