Job Title: Billing Specialist

Job Responsibilities:
The Billing Specialist is primarily responsible for managing the billing of client invoices in the format required by the client. This includes handling various day-to-day tasks related to billing such as printing prebills and final bills for attorney review. The role involves researching and answering billing questions for attorneys, Legal Practice Assistants, and clients. The Billing Specialist is also tasked with inputting, updating, and mailing invoices on the accounting system, as well as maintaining and managing clients’ alternate fee arrangements.

Essential duties and responsibilities include:
- Editing prebills to make time and disbursement transfers, time splits, on account transfers, time adjustments, and disbursement adjustments.
- Printing, sorting, and distributing prebills to billing attorneys, and printing drafts and/or finals of computerized invoices to forward to attorneys for further edits.
- Maintaining client billing addresses to ensure accuracy and currency.
- Entering any necessary billing exemptions by the billing cutoff date and maintaining status through month-end.
- Monitoring and managing several levels of approvals for write-offs and monthly exemptions for billing.
- Accurately and efficiently entering alternate rates into the computer system.
- Providing attorneys and legal support staff with requested billing statistics, utilizing Excel spreadsheets as needed.
- Managing communication with attorneys to ensure billing deadlines are met.
- Submitting, processing, and tracking invoices, as well as resolving billing issues via electronic and web-based billing systems.
- Effectively communicating during monthly check-in meetings with the billing manager to provide updates on the status of timekeepers’ Work in Progress and troubleshooting as necessary.
- Identifying and responding to internal and external client inquiries in a timely manner and seeking feedback/follow-up as appropriate.

Knowledge, Skills, and Abilities:
- Ability to communicate clearly in both written and oral form with professionals in the law firm and with clients regarding billing issues.
- Outstanding customer/client service and interpersonal skills.
- Ability to represent the department in a professional and positive manner.
- Proficiency in Microsoft Word and Excel.
- Ability to work under pressure and balance multiple competing priorities.
- Ability to produce high-volume, computerized document edits in a fast-paced, deadline-driven environment.
- Ability to work effectively both independently and with teams to promote consistent and efficient workflow processes.
- Strong interpersonal skills, with the ability to provide high-quality service and partner effectively with diverse groups of people at various levels within the law firm as well as external contacts.
- Ability to self-manage and work independently in a hybrid, and in-office setting.

Education and Experience:
- A college degree is preferred; or any equivalent combination of training, education, and experience that demonstrates the ability to perform the essential duties of the position.
- A minimum of three (3) years of law firm billing experience is required.
- Previous Aderant/CMS experience is strongly preferred.

Salary Information:
Compensation for this position is dependent on several factors, such as position, location, education, training, and/or experience. The hiring salary range is $50, - $70,.
