Job Title: Human Resources Assistant
Job Responsibilities:
The Human Resources Assistant plays a crucial role in supporting the firm's human resources function by performing daily administrative tasks and services. Key responsibilities include:
- Monitoring incoming calls and managing the department email inbox, directing team members to appropriate resources to resolve HR issues.
- Coordinating schedules for the HR department, including organizing meetings and events.
- Supporting business professional recruiting efforts, which involve job postings, scheduling interviews, collecting feedback, and updating the firm's website and social media.
- Administering candidate pre-employment tests, conducting reference checks, assisting in drafting offer letters, and providing recruitment process support to various departments.
- Creating and coordinating new employee orientation schedules.
- Completing I-9 documentation and E-Verify processes.
- Updating internal and external HR communications, including emails, policies, the firmwide Intranet, the HRIS database, and other HR materials.
- Assisting with data entry, HRIS records, personnel files, and other HR recordkeeping and reporting tasks.
- Providing administrative support for benefits administration and billing.
- Handling administrative support for employee relations and performance management processes.
- Updating hourly/non-exempt employee timesheets and PTO requests.
- Performing employment verifications.
- Assisting with other duties and/or special projects as assigned.
The position typically requires approximately hours per week, with potential additional work after regular business hours to attend functions and events on evenings and weekends. Occasional travel may also be required.
Education and Experience Information:
The position requires a minimum of one year of administrative support experience, along with a bachelor’s degree in HR, psychology, business, or a related field, or an equivalent combination of education and job experience. Administrative experience in an HR department is strongly preferred, especially within a law firm or other professional services setting.
Other required skills and qualifications include:
- Excellent written and verbal communication skills, including grammar and proofreading.
- Exceptional interpersonal and customer service skills, with the ability to develop and maintain effective working relationships with candidates, business professionals, and attorneys.
- A motivated self-starter with analytical and problem-solving skills.
- Demonstrated attention to detail, accuracy, and confidentiality.
- Excellent time management skills and the ability to meet deadlines in a fast-paced environment.
- Strong organizational skills and the ability to prioritize workload with frequently shifting priorities.
- Willingness to embrace and learn new skills and resolve issues.
- Proficiency in Microsoft Office Suite, Adobe Acrobat, and/or similar software.
- Experience with HRIS/ATS, with Dayforce familiarity preferred.
