Job Responsibilities:
The Intake Assistant plays a crucial role in the legal and administrative operations of a law firm, particularly within the personal injury sector. This role involves a wide range of tasks aimed at providing support to prospective clients and ensuring smooth intake processes. Key responsibilities include:
- Supporting the intake team with various tasks as assigned.
- Documenting every potential client accurately and promptly in the case management system while ensuring data integrity and confidentiality.
- Prioritizing immediate contact with leads to maximize potential client interest.
- Collaborating with the intake team to develop efficient lead follow-up procedures.
- Conducting comprehensive interviews with potential clients using applicable scripts to gather essential information such as accident details, injuries, medical treatment, and insurance coverage.
- Assessing the viability of personal injury claims based on firm criteria by reviewing intake information and identifying legal issues.
- Guiding potential clients through the intake process and communicating the benefits of the firm's legal services persuasively.
- Meeting or exceeding monthly goals for completed intakes and case documentation.
- Engaging with potential clients to build rapport and trust, thereby maximizing conversion likelihood.
- Using effective communication techniques to explain the firm's services, expertise, and value proposition.
- Addressing any concerns or objections potential clients may have, aiming to overcome barriers to conversion.
- Escalating the evaluation of potential client cases to senior intake staff or attorneys to ensure they meet case criteria standards.
- Following up with potential clients to schedule appointments for in-person sign-up or consultation.
- Maintaining the potential case appointment calendar and following up with no-show appointments.
- Preparing potential client intake paperwork and ensuring appropriate forms are sent for signature.
- Assisting new clients with completing paperwork and ensuring all intake forms are properly signed and filed.
- Ensuring required documents are saved in the case file, such as contracts, police reports, and photos.
- Assisting with opening, reopening, and updating intakes in the case management system.
- Ensuring the protocol is followed for handoff of new cases to the next department.
- Demonstrating the ability to use standard office equipment such as telephones and computers.
- Following up with attorneys to confirm contact between client and referral.
- Communicating with incoming attorney referrals if the firm declines a case or has been unable to reach potential clients.
- Performing other potential duties and special projects as assigned.
Education and Experience Information:
The position does not require previous legal experience, making it accessible to individuals new to the field. However, certain skills and attributes are essential:
- Fluency in speaking and reading Spanish.
- Exceptional attention to detail and accuracy.
- Strong organizational skills.
- Confidence and empathy in client interactions over the phone.
- Exceptional customer service and communication skills, both written and verbal.
- Proficiency in Microsoft Office and database entry.
- Inbound sales experience is a plus.
- Plaintiff personal injury experience is a plus.
Salary Information:
The role offers a base pay of $20 per hour with the potential for bonuses based on the number of sign-ups. If the required minimum signed goal is met per month, the intake team member will receive a base bonus of $350. Additionally, for every lead signed up within the same month after meeting the required minimum goal, $25 per lead will be paid in addition to the base bonus.

Work Schedule:
The position is full-time, with an 8-hour day shift from Monday to Friday. The role allows for remote work, including during the training period, for those with prior personal injury intake experience. For individuals living within a 30-mile radius of any of the firm's offices, the schedule would be hybrid remote starting 90 days after the start date.
