Job Responsibilities

The Senior Billing Coordinator (SBC) is tasked with managing the unbilled and billed inventory for a portfolio of top revenue-producing clients and lawyers. Key responsibilities include:

- Overseeing the billing process for a select portfolio of high-profile lawyers and clients, ensuring detailed knowledge of applicable client terms, discount arrangements, and lawyer and client preferences. This involves:
- Ensuring the billing process, from proformas to final billing, is executed accurately and timely in accordance with law firm standards and client guidelines.
- Documenting, updating, and complying with client guidelines.
- Identifying and promptly resolving e-billing issues, including addressing rejected invoices and working with attorneys and their secretaries to obtain LEDES IDs.

- Managing the unbilled inventory and any billed invoices that require revision for the assigned group of lawyers/clients:
- Ensuring consistent and regular communication with Billing Responsible Lawyers (BRLs) related to aged billed balances.
- Leveraging secretaries and Finance management to escalate problem accounts.
- Making recommendations for write-offs of aged balances where appropriate.
- Ensuring partners achieve their billing incentives and the law firm’s billing target.
- Keeping matter arrangement coding current, including transactional codes and estimated bill dates.
- Clearing temporary matters.
- Submitting write-offs over $10K for approval.
- Updating proforma statuses and finalizing invoices in accordance with firm processes.
- Clearing Bill on Account (BOA).

- Updating the Pricing team of any newly discovered alternative fee arrangements for review and ultimate disposition.
- Assisting with the application of unidentified cash receipts.
- Creating and maintaining documentation of procedures, deadlines, and other client and lawyer preferences related to billing.
- Reviewing new matter notification emails and ensuring matters in 3E are updated accordingly.
- Responding to information requests from lawyers, clients, and administrative staff related to inventory levels, time and cost entries, billing reconciliations, outstanding receivables, and cash receipts.
- Supporting client and partner requests for accrual information that is timely and accurate.
- Performing other related duties as assigned.

Education and Experience

- Bachelor’s degree preferred.
- A minimum of five years’ experience in a professional services environment using time and billing software such as Elite or Aderant.
- Strong analytical, critical thinking, and effective communication skills.
- Demonstrated proficiency with MS Excel, including advanced features such as vlookup, pivot tables, and filters.
- Providing superior customer service.
- Self-directed with a strong work ethic; capable of working independently with limited supervision.
- Ability to occasionally work outside of established business hours and adjust personal schedule to meet deadlines is required.

Salary Information

- Boston, Chicago, Washington, DC, Los Angeles: $70,500 - $107,550
- New York: $73,900 - $112,650
- Silicon Valley, San Francisco: $77,200 - $117,750

This role is also eligible for a discretionary bonus based on performance. The actual offered rate will be determined based on factors such as qualifications, experience, geographic location, education, external market data, and internal equity considerations.

Working Conditions

This position requires a hybrid on-site presence as an essential function of the role. Consistent and predictable on-site presence is required for ongoing business continuity, professional development, and effective collaboration with colleagues and management.
