Job Title: Practice Team Assistant - Corporate
Job Responsibilities:
The Practice Team Assistant is primarily responsible for providing administrative support for various projects and duties in support of the timekeepers and secretaries within the assigned practice group(s). Key responsibilities include:
- Opening and organizing all interoffice mail for team members.
- Answering timekeeper phones when necessary, particularly when the legal secretary is unavailable.
- Assisting with lunch orders, car services, and other scheduling tasks as required.
- Greeting visitors, escorting them to meeting rooms, and providing necessary amenities.
- Conducting research, preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, arranging conference calls, setting up web meetings, retrieving corporate documents, and updating contact databases.
- Reviewing documents for accuracy, completeness, grammar, and syntax.
- Handling confidential and sensitive information with discretion.
- Scheduling, coordinating, and confirming meeting spaces and attendees for team meetings as requested by the Practice Group Mentor.
- Coordinating travel arrangements as requested.
- Preparing and processing expense reports, check requests, travel reimbursements, health club reimbursement forms, etc., in accordance with accounting guidelines.
- Tracking relevant travel and expense receipts for accurate accounting reconciliations and filing reimbursements, credits, and refunds.
- Preparing documents to support team members with overflow work, including revisions, edits, and proofreading.
- Assisting with internal procedures for preparing audit letter responses as needed.
- Entering daily time entries and maintaining file copies of released time.
- Creating and maintaining files, including chronological files and indexes not stored in the Records Department.
- Completing e-Records filing as requested.
- Keeping all files up-to-date and organized under the direction of the Practice Group Mentor and forwarding materials to the Records Department as necessary.
- Completing all document processing and correspondence assignments accurately and within the stated timeframes.
- Arranging for messenger service, copy center, and facsimile requests as needed.
- Copying documents not appropriate for the copy center and scanning documents into PDF format.
- Printing large PDF documents and emails, and assisting with burning and labeling CDs and DVDs.
- Using the CRM tool to support business development, including maintaining and updating contact information and resolving conflicts.
- Coordinating and assisting with other special projects as required.
- Assisting other team members and timekeepers with various administrative tasks.
- Performing all other duties as assigned or required.
Education and Experience Information:
Required:
- High school diploma or equivalent.
- Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, File Surf, CRM, and other applications after orientation and training.
- Availability to work overtime as required.
- Previous office experience as an Administrative Assistant.
Preferred:
- Bachelor’s degree.
- Previous experience in a law firm or professional services industry.

Salary Information:
The expected hourly pay range for this position, based on a 40-hour workweek, is between and , which annually equates to $58, to $70,. The final offer will depend on geographic location, applicable experience, and skillset of the candidate.
