Job Title: Paralegal/Legal Assistant (Litigation)

Job Responsibilities:
The Paralegal/Legal Assistant (Litigation) is responsible for providing both administrative and paralegal support to attorneys in the litigation, marketing, and privacy groups within the legal department. Key responsibilities include:

- Communicating with internal clients and external legal counsel via phone and email.
- Updating and maintaining the document database for litigation and privacy groups by adding new matters, updating existing ones, and generating reports.
- Conducting factual and legal research on arising matters such as document analysis, legal inquiries, member issues, and due diligence.
- Engaging in special projects, which may involve implementing legal operations initiatives, modernizing processes, or addressing business escalations.
- Routing new matters to relevant business teams, vendors, and outside counsel, tracking responses, and following up as needed.
- Supporting and coordinating matters assigned to outside legal counsel, including coordinating participation in discovery-related matters.
- Tracking compliance issues and coordinating follow-ups across various departments, logging transactions and events into tracking and compliance tools.
- Reviewing, coding, and processing invoices from outside counsel for payment, ensuring compliance with the company’s outside counsel policies, and resolving any issues with counsel and internal legal team members.
- Responding to subpoenas, preparing and tracking litigation hold notices, preparing invoices for payments, tracking budgets, and assisting with the preparation of summary reports.
- Arranging travel and preparing expense reports.
- Preparing correspondence, documents, and presentations, ensuring proofreading, formatting, consistency, and accuracy for time-sensitive, high-profile documents.
- Calculating and calendaring court and other deadlines.
- Establishing and maintaining paper and electronic filing systems.
- Assisting attorneys with continuing legal education (CLE) and managing payment of annual bar association dues.

Education and Experience Information:
- Proven ability to maintain confidentiality in all legal matters.
- Proactive attitude with high engagement and strong interest in learning.
- Ability to remain calm, work effectively both independently and as part of a team, and adapt to changes in direction or assignments.
- Advanced proficiency in Microsoft Office suite, Google tools, Adobe Acrobat, and Foxit PhantomPDF.
- Strong attention to detail and excellent interpersonal skills, emphasizing written and verbal communication.
- Well-organized with the ability to prioritize tasks, troubleshoot effectively, and manage multiple projects.
- Capable of making sound critical decisions and accepting responsibility for those decisions.

Recommended Qualifications:
- Strong familiarity with litigation, contracting processes, and commercial contracts; experience with Thomson Reuters Legal Tracker is preferred but not required.
- Significant experience as a litigation legal secretary/legal assistant/paralegal in a law firm or in-house legal department.
- High School Diploma or GED required, with some college education preferred; a paralegal certificate is a plus.

Salary Information:
The pay range for this position is $68,640 - $85,010 per year. The role also offers the option of working from home up to two days per week, subject to occasional variations based on business needs.
