Job Title: Administrative Assistant
Job Responsibilities:
The Administrative Assistant at the Administrative Services Center is responsible for providing exceptional administrative support to legal teams within the law firm. This role involves ensuring the accurate preparation of documents, meeting deadlines, and delivering superior client service to both internal and external stakeholders.
Primary responsibilities include:
- Facilitating general administrative support for legal teams, which encompasses precise data entry of receipt/approval notice details into the in-house database to ensure accurate representation of government case numbers and validity dates.
- Preparing meticulously crafted approval letters and notifications for external clients.
- Efficiently coordinating and rescheduling appointments with external clients as directed by the US government.
- Preparing requests for petition withdrawals to government agencies.
- Updating the internal ticketing system to reflect the precise status of requests from legal teams.
- Ensuring the physical filing of paperwork with government agencies and the seamless uploading of documents to internal systems.
- Performing general copying and scanning of documents with precision.
- Preparing shipping labels, letters, and collating packets for employer/client copies in a methodical manner.
- Utilizing and updating the in-house database according to the provided instructions.
- Providing valuable assistance with projects related to the practice as required.
Education and Experience Information:
- A minimum of 1+ years of experience in an office environment is required.
- Experience working in immigration-related tasks is preferred.
- A High School Diploma or equivalent is required.
- An Associate degree or 2 years of college is preferred.
The ideal candidate should:
- Adapt quickly to new technologies, ensuring seamless integration into daily tasks.
- Have a quick grasp of new processes and be adept at applying technological skills.
- Be proficient in general office clerical tasks including phones, typing, and filing.
- Demonstrate proficiency in the Microsoft Office Suite.
- Be able to effectively manage multiple assignments concurrently.
- Possess a keen eye for detail and an unwavering commitment to accuracy.
- Be capable of managing heavy workloads efficiently.
- Exhibit exceptional verbal and written communication skills.
- Exemplify excellent customer service with a positive and welcoming demeanor.
