Job Responsibilities
- Proofread and edit documents for grammatical, typographical, and spelling errors. Finalize and distribute these documents to clients, attorneys, and staff. Ensure that all deadlines are anticipated and met.
- Coordinate conferences, meetings, and appointments for attorneys and clients, which includes scheduling the conference room, arranging meals and beverages, preparing materials, and greeting clients. Also responsible for seminar registration and travel arrangements, including securing air, hotel, and car reservations for attorneys and clients.
- Coordinate mass mailings and manage filings with the state.
- Maintain a calendar of meetings and business trips, ensuring that attorneys are apprised of their responsibilities in advance of any commitments.
- Assist attorneys with the review, editing, and finalization of client bills to ensure the accuracy of input.
- Anticipate the business needs of assigned attorneys; plan ahead and meet deadlines accordingly.
- Coordinate preliminary conflict checks through the automated system to ensure the ability of the attorney and law firm to represent potential clients.
- Set up, organize, and maintain firm files. This includes reading and reviewing materials to be filed, filing documents in the correct files, and retrieving documents and files when requested.
- Perform a variety of administrative functions, including processing new matter reports, preparing expense reports, and tracking CLE credits.
Education and Experience Information
- Two to three years of relevant law firm experience is required.
- A bachelor’s degree is preferred.
Knowledge, Skills, and Abilities Required
- Ability to demonstrate a high degree of professionalism and interpersonal skills, including maintaining positive contact with clients, attorneys, and coworkers.
- Demonstrated ability to be a team player with a can-do attitude.
- Strong technical aptitude with advanced Microsoft Word skills required. Proficiency with Microsoft Excel, Outlook, PowerPoint, and databases is also necessary.
- Excellent written and oral communication skills are essential.
- Flexibility to work extended hours as needed is required.
