Job Title: E-Billing Specialist

Job Responsibilities:

The E-Billing Specialist is a crucial member of the Accounting Department at the law firm, primarily responsible for handling electronic billing tasks. The role includes processing client bills, addressing billing inquiries, and assisting in the monitoring and follow-up of billing functions. Key responsibilities include:

- Submitting invoices through the e-billing system and documenting progress in the eHub and eBilling Tracker.
- Reviewing newly opened client matters for assigned attorneys to check their availability on e-billing websites.
- Monitoring e-billing daily for new invoices and rejections, and reviewing daily new timekeeper reports for new timekeepers that may need approval.
- Ensuring successful submissions of e-billed clients and assisting in resolving any rejections.
- Assisting attorneys, Client Service Specialists, and clients with day-to-day e-billing questions and concerns.
- Verifying that client setup, rates, and billing requirements are correct in the eBilling system.
- Submitting rate requests to related vendor sites as required.
- Providing updates regarding invoice status to the Client Billing Manager.
- Ensuring all tasks are performed in accordance with firm and client billing guidelines and policies.
- Working closely with supervisors and managers to resolve any e-billing or client e-billing issues.
- Submitting invoices through the e-billing system and documenting progress within BillBlast and Ebilling Portal.
- Responsible for the submission of monthly/quarterly accruals as required.
- Providing updates regarding invoice status to Billing Supervisors/Director of Billing.

Additional responsibilities include performing other accounting duties and special projects as assigned.

Education and Experience Information:

Education:

- A Bachelor’s degree in Accounting, Financial Analysis, Management, or a related field is preferred.
- A high school diploma or equivalent is required.

Experience:

- A minimum of five (5) years' e-billing experience in a law firm or other professional services organization is required.

Knowledge, Skills, and Abilities:

- Proficiency in utilizing various vendor websites and the BillBlast system for electronic billing.
- Previous experience with the 3E or Elite accounting system is strongly preferred.
- Excellent customer service skills are essential.
- Must be self-motivated, detail-oriented, highly organized, and reliable.
- Ability to multitask with a high volume of work and work well independently as well as in a team environment.
- Ability to prioritize and take initiative to assist as needed.
- Strong oral and written communication skills and accuracy are a must.
- Must be proactive, work well under pressure, and excel in a fast-paced environment.
- Professional and courteous communication with clients, attorneys, paralegals, and staff is a must.
- Demonstrated experience using related accounting computer systems and Microsoft Office Suite, including Outlook, Word, and Excel.
