Job Title: Immigration Assistant
Job Responsibilities:
The Immigration Assistant at the law firm is tasked with supporting attorneys and case managers in the preparation, filing, and monitoring of various immigration and law matters. Key responsibilities include:
- Supporting Paralegals, Senior Paralegals, and Attorneys in email and phone communications.
- Providing limited guidance to assignees regarding proprietary systems and case processing.
- Developing an understanding of client communication procedures and requirements.
- Inputting client services rendered and sending them to Accounting for processing.
- Learning procedures and documentation requirements for case types, both simple and advanced, and executing case processing tasks as assigned.
- Processing basic corporate immigration cases.
- Relaying concerns and proactively escalating them to the appropriate law firm team member(s).
- Utilizing templates and prepared materials when completing documents for attorney review and beginning to learn law firm best practices.
- Managing the status of all filed applications and petitions and finalizing documents after attorney review.
- Utilizing document and data management systems to prepare, monitor, and record all aspects of client casework as per law firm policy.
- Learning how to prepare internal caseload reports for management.
- Sharing process flow (based on templates) with assignees.
- Performing research to obtain information such as background on a company or industry, current wages, processing procedures, standard processing times, etc.
- Initiating contact with government agencies to obtain necessary information and alerting Senior Paralegal and/or attorney regarding potential process delays/problems.
Education and Experience Information:
Candidates for the position of Immigration Assistant are required to have:
- A high school diploma or equivalent.
- A Bachelor’s degree or 2 years of related business experience.
- Superb organizational skills.
- The ability to follow instructions and take actions independently.
- The ability to manage cases and work within strict timelines.
- Excellent English language skills, both verbal and written.
- The ability to proofread and edit their own work product.
- General computer knowledge and typing skills, including word-processing, email, and forms software.
- A professional, respectful attitude towards all coworkers.
- The ability to receive and analyze information and share it with office members.
- Strong attention to detail and accuracy.
- Proficiency in MS Office, Scan/Copy, and the ability to learn to effectively utilize VB and Cobalt.
Working Conditions:
The Immigration Assistant position involves:
- Sitting and working at a computer keyboard for extended periods.
- Stooping, kneeling, bending at the waist, and reaching on a daily basis.
- Performing general office administrative activities such as copying, filing, delivering, and using the telephone.
- Occasionally lifting and moving up to 25 pounds.
- Regular and on-time attendance.
- Prioritizing, scheduling, and completing testing required for multiple applications with overlapping schedules.
- A certain degree of creativity and flexibility.
- Working hours that may exceed 40 hours per week.
- Occasional travel by conventional means including aircraft and motor vehicle within the region and to other locations as required.
