Job Title: Billing Supervisor
Job Responsibilities:
The Billing Supervisor at the law firm is tasked with a range of responsibilities centered around managing the billing process and supervising billing staff. Key responsibilities include:
- Meeting with partners monthly to discuss Work in Progress (WIP) and Accounts Receivable (AR) inventory, addressing potential issues, and determining the best course of action.
- Preparing and distributing monthly prebills to attorneys and monitoring local monthly billable WIP, reporting status to management.
- Communicating with attorneys and secretaries to address billing questions or report requests.
- Auditing prebills for accuracy in rates and special arrangements, entering approved timekeepers in the Aderant system, and revaluing rates on prebills as needed.
- Managing Bill Groups and Bill Formats in Aderant to ensure client contact details, currency accuracy, and adherence to partner and client requirements.
- Editing, preparing, and auditing finalized monthly prebills for accuracy before posting.
- Overseeing the e-billing process, including ensuring synchronization between Aderant and BillBlast, preventing e-billing errors, and ensuring successful invoice submissions, including monthly accrual estimates.
- Ensuring supporting documents are attached to invoices as per client requirements.
- Handling research rejections, appeals, short pays, and client payment disputes promptly.
- Preparing Accounts Receivable write-offs according to firm policy.
- Assisting in transitioning matters handled by departing attorneys and identifying inactive matters for closure.
- Verifying daily new business memos and ensuring correct input of information and special billing arrangements for assigned clients.
- Supervising the billing staff, setting daily priorities, coordinating workflow, ensuring quality and timely completion of billing assignments.
- Consulting with and assisting the Billing Manager on department procedures and ensuring implementation with staff.
- Monitoring monthly billable WIP and accounts receivable, reporting comments from Billing Specialists to the Manager, and escalating issues with responsible attorneys as necessary.
- Advising the Billing Manager on staffing, personnel issues, productivity, training, and professional development.
- Managing the monthly process of recording bills in Aderant by month-end and providing delinquency reports to management.
- Processing and recording office escrow transactions and handling escalated inquiries from secretaries, attorneys, and clients regarding bills.
- Supervising daily work, providing guidance on prioritizing, problem-solving, and completing tasks as assigned.
- Assisting in the constructive resolution of conflicts among team members, other departments, and internal clients.
- Contributing to annual reviews, providing constructive feedback, and identifying training/development needs and growth opportunities for team members.
- Leading by example in promoting teamwork within the Billing department.
- Participating in team meetings and engaging in achieving department goals and objectives.
- Working with attorneys to complete monthly billing and other assigned tasks, including coordination of escrow transactions.
- Coordinating with the Billing Manager on a regular basis to report work in process, unbilled time, and raising issues.
- Implementing firm billing standards, policies, and programs as required.
- Developing relationships with attorneys and partners, serving as support for issues, resolving problems, and reporting problems to the Billing Manager in a timely manner.
Education and Experience Information:
- A Bachelor's degree is required for this position.
- The candidate must have over three years of law firm billing experience.
- Prior supervisory experience is necessary.
- Experience with computerized accounting systems, preferably Aderant, is required.
- Experience with E-billing is essential.
- Advanced knowledge of Excel and thorough knowledge of MS Office applications, including Word and Outlook, are required.
- Excellent oral and written communication skills are necessary, including the ability to convey detailed and complex information effectively.
- The candidate should have a strong aptitude and willingness to work with complex procedures, along with strong organizational skills and attention to detail.
- The ability to read, comprehend, and follow instructions, manage multiple priorities, and adjust to changing priorities professionally is crucial.
- The candidate must be able to work independently and as part of a team, with a willingness and ability to assume new tasks and responsibilities.
- Basic knowledge of human resources policies, practices, and legal requirements is needed.
- Strong leadership skills and the willingness to function as a role model within the office are necessary.
- The candidate should possess excellent judgment, common sense, a strong service orientation, and the ability to establish and maintain effective working relationships with users, peers, office and firm management, and outside business partners.
- The ability to work well under pressure, facilitate solutions, and meet deadlines and milestones for assigned projects is required.
- The candidate must be willing to work extended hours as necessary to fulfill time-sensitive responsibilities.

Salary Information:
The anticipated base salary range for the Billing Supervisor position in Washington, DC, is between $100,000 and $115,000. The actual salary offered will be based on various factors, including relevant education, qualifications, years of relevant experience, certifications or other professional licenses held, job-related knowledge and skills, business needs, and the location from which the work will be performed. Additionally, salary or hourly wages may be part of a total compensation package that includes a full range of health and other insurance benefits, financial and/or other benefits (including 401(k) eligibility), a discretionary bonus, and various paid time off benefits.
