Job Title: Finance Coordinator - Disbursements
Job Responsibilities:
The Finance Coordinator at the law firm plays a crucial role in providing entry to mid-level accounting support within the Finance department. The primary responsibility of this position is to ensure the timely processing of all client disbursements, which involves verifying that appropriate documentation has been provided. The coordinator is also tasked with reconciling accounts receivable (A/R) and assisting with audits as needed to ensure accuracy and timeliness in all tasks. Maintaining effective communication with colleagues and clients is essential to ensure all client and internal systems are updated with actions taken and all correspondence. Additional responsibilities include processing inbound checks, conducting weekly audits of check and tender lists, meeting with clients to review disbursement details, scanning and closing out disbursed and rejected files, and processing disbursed checks while creating trust ledgers. The role also involves reviewing and processing third-party invoices and firm-incurred expenses for accuracy and case relevance, matching receipts, invoices, and authorization forms to related matters, and validating entries before approval. Monitoring aging disbursements and verifying new and existing vendor payment terms, W-9s, and compliance requirements are also key duties. The coordinator is expected to assist with additional projects as needed and directed.
Education and Experience Information:
The ideal candidate for the Finance Coordinator position should have a minimum of one year of experience in an entry-level accounting or finance role, which is required. An associate degree or higher is preferred, and prior experience working in a law firm is considered a plus. The candidate should possess intermediate-level knowledge of QuickBooks and the MS Office Suite, specifically Excel. Strong attention to detail and the ability to handle and work with confidential information are critical. The role requires strong time management skills, excellent interpersonal, written, and oral communication skills, as well as excellent organizational and multitasking abilities. The ability to work in a fast-paced environment with attention to detail and deadlines is crucial for success in this role.
Salary Information:
