Job Description

The Legal Secretary role involves providing professional and administrative support to assigned attorneys, including members of the law firm's Executive Committee and/or Management Board. The position requires handling confidential and sensitive information, resolving issues for internal and external clients, and performing a variety of administrative tasks to support the attorneys’ practice.

Job Responsibilities

- Assemble and handle confidential and sensitive information, resolving issues for internal and external clients through phone or in-person interactions.
- Responsible for substantive edits and preparation of client bills.
- Maintain calendar of meetings, appointments, business travel, and special events.
- Coordinate meetings, conferences, or special events, and gather and prepare related materials for distribution in advance.
- Compose and format legal documents, reports, and presentation materials, ensuring accuracy in spelling, punctuation, and grammar.
- Collect, enter, and edit time for client billing purposes.
- Coordinate domestic and international travel, and prepare, submit, and track travel and expense reimbursements.
- Prepare law firm communications, correspondence, and presentations in collaboration with the law firm's Marketing Department or other resources.
- Receive and screen telephone calls according to office policy and individual preferences, referring matters to other staff and resources as appropriate.
- Open, sort, and distribute mail in compliance with office policy and individual preferences.
- Assist law firm leadership, practice group leaders, and/or business managers with administrative or operational tasks as necessary.
- Maintain physical and electronic filing systems for accurate and efficient retrieval of information.
- Possess an understanding of law firm policies and procedures, directing questions to other staff and resources as appropriate.
- Assist attorneys or staff with team support as needed.
- Perform other duties based on the unique practice of assigned attorneys.

Qualifications

Knowledge, Skills, and Abilities

- Demonstrated ability to consistently provide high-quality client service to both internal and external clients.
- Ability to follow directions and work effectively both independently and with others in a cooperative, enthusiastic, and friendly manner to accomplish position functions and participate in team efforts.
- Proficiency in the use of MS Office to produce high-quality written communications such as memos, spreadsheets, presentations, and standard legal documents.
- Thorough command of the English language, including excellent spelling, grammar, and punctuation skills.
- Ability to communicate clearly and effectively, both orally and in writing.
- Capacity to perform routine and non-routine tasks with attention to detail and efficiency.
- Ability to adapt to changing priorities and maintain a productive and committed work effort, meeting deadlines and managing workload with an aptitude to coordinate a variety of initiatives.
- Ability to apply technical knowledge or guidance, analyze and interpret data from multiple sources, and solve problems by applying precedent or extrapolating from previous experience.
- Exercise sound judgment and discretion in handling and maintaining confidential information and data, requiring poise, tact, and diplomacy.
- Represent the law firm with honesty, integrity, and professionalism, consistently acting in an ethical manner.
- Working knowledge of legal terminology and procedures.
- General knowledge of documents, business processes, operation of standard office equipment, and software.
- Ability to accurately type 80 words per minute.
- Ability to work overtime hours as requested.
- Ability to safely lift, move, and carry items without assistance, weighing up to 25 lbs.

Education

The position requires a High School Diploma or GED. An AA/BA/BS degree or equivalent specialized training is a plus. Bi-lingual speaking skills are also a plus.

Experience

The position requires seven (7) years of administrative experience.

The law firm is committed to fair and equitable compensation practices in accordance with applicable laws. The salary range for this position is $75,800-$99,600. Additional compensation may include a discretionary bonus. The salary may vary based on location, market data, an applicant’s skills and prior experience, certain degrees and certifications, and other factors.
