Job Title: Legal Secretary
Job Responsibilities:
The legal secretary will support attorneys in their representation of clients throughout various stages of litigation, including intake, pre-suit investigation, discovery, motion practice, pre-trial proceedings, dispute resolution, and trial. This role involves a range of tasks that require attention to detail, effective communication, and collaboration with the legal team. Key responsibilities include:
- Collecting pertinent information from prospective clients during phone interviews.
- Entering information into the law firm's matter intake software and contact databases.
- Collaborating with attorneys and professional staff to evaluate legal claims, request and review critical records, and communicate with prospective clients during the intake process.
- Opening, organizing, and maintaining case files.
- Performing electronic filing in state and federal court.
- Downloading electronic court filings as they are filed.
- Calendaring case and other deadlines as needed.
- Scheduling court reporters, attorney travel arrangements, and attorney meetings as needed.
- Drafting form retainer agreements, consent forms, and other documents for client signatures.
- Preparing legal documents, including pleadings, motions, briefs, affidavits, discovery requests, case evaluation summaries, and demand letters, as directed by attorneys.
- Organizing and maintaining documents in both paper and electronic filing systems.
- Inputting updates into the case management system.
- Meeting with clients and other professionals to discuss case details.
- Communicating with clients verbally and in writing.
- Working collaboratively with attorneys, paralegals, and other professional staff.
- Assisting with trial preparation by organizing exhibits and performing other tasks.
- Paying invoices through the law firm's accounting department.
- Participating in law firm activities, meetings, and events.
- Assisting with other external marketing and administrative duties as needed.
Education and Experience Information:
Candidates should have a minimum of two years of experience working on litigation cases within a law firm setting. Experience with Class Action and/or FLSA cases is advantageous. The position requires:
- Excellent communication skills and the ability to empathize with clients who may be emotional or distraught.
- Strong organizational skills and the ability to work independently in a fast-paced litigation environment.
- Excellent interpersonal skills, problem-solving abilities, and the capacity to work efficiently under stress.
- A team-oriented mindset with the ability to establish functional relationships with diverse personalities.
- Proficiency in Microsoft Office applications, including Word, Outlook, and Excel. Familiarity with RightSignature, LawRuler, or similar intake and practice management software is preferred.

Additional Information:
The legal secretary position is a regular, full-time, non-exempt role with business hours from 8:30 am to 5:00 pm, Monday through Friday. However, additional work may be necessary. This is primarily an office-based position, with the possibility of up to two remote workdays per week. A background check may be required in accordance with applicable employment laws.
