Job Title: New Business Intake Assistant
Job Responsibilities:
- Assist the New Business Intake team with processing new matter requests using the law firm’s conflicts software.
- Conduct background checks and other due diligence related to new matters to ensure compliance with the Rules of Professional Conduct and client outside counsel guidelines.
- Review new matters for accuracy and completion, ensuring required documents such as engagement letters, outside counsel guidelines, and waivers are attached.
- Perform data entry of new matters into the law firm’s conflicts software.
- Maintain general client matters, including updating client addresses, names, or corporate structures.
- Track and follow up on the status of executed engagement letters.
- Close matters in the law firm’s billing and conflicts systems.
- Assist with managing outside counsel guidelines, which may include uploading and integrating documents into an outside counsel management database and following up with attorneys to confirm that client guidelines are up-to-date.
- Undertake other responsibilities as needed to support the New Business Intake Department.
Education and Experience Information:
- Two to five years of legal experience, preferably with New Business Intake in a law firm.
- Bachelor’s degree or an equivalent combination of education, training, and experience.
- Experience with InTapp and Aderant is preferred.
- Proficiency in Microsoft Word and Outlook is required.
- Candidates should be highly organized, detail-oriented, and proactive, with a desire to take ownership of their work.
- Ability to balance competing priorities and work effectively in a fast-paced environment, maintaining patience and professionalism during stressful situations.
- Capability to work independently and collaboratively within a team.
- Strong verbal and written communication skills are essential.
- Some overtime may be required.
