Job Title: Senior Training and Communications Specialist
Job Responsibilities:
The Senior Training and Communication Specialist at the law firm is responsible for independently managing and executing training and communication projects associated with training services provided by the department. The role involves a proactive approach in identifying and implementing process improvements and cost-saving measures. The responsibilities include:
- Auditing logistics for training events to ensure seamless execution and proactively resolving issues related to logistics.
- Providing comprehensive logistics information, client policies, training materials, and delivery specifications to trainers and event producers for all in-person and virtual instructor-led trainings before each event.
- Managing and developing the external technical event producer team, including training, contracts, and weekly scheduling.
- Owning the customization process for training materials such as scenario cards, PowerPoint presentations, role plays, name cards, and workbook covers, and editing or updating course workbooks in collaboration with an external printing vendor.
- Engaging in complex design tasks in conjunction with the law firm's external design team.
- Ordering materials and props for on-site training events.
- Managing file sharing and document version control for training materials.
- Maintaining accurate billing information in Salesforce, preparing contracts, and notifying relationship partners.
- Overseeing vendor management for Salesforce processes, business process updates, and implementing new and improved workflows to enhance business efficiency and reliability.
- Managing and overseeing Adobe Connect and technology updates, and communicating these updates to necessary individuals, as well as engaging with external vendors to track Adobe Connect products and relationships.
- Ensuring maintenance efforts including saving client documents, material files, post-training evaluations, and notes in an internal database, and accurate data entry into the department's CRM system.
- Overseeing in-house inventory of training props.
- Completing other projects as assigned.
Education and Experience Information:
The position requires a bachelor's degree and 4-7 years of work experience, with prior experience in an administrative position being essential. The candidate must possess:
- Excellent writing and proofreading skills.
- The ability to coordinate tasks and communicate effectively with clients and partners.
- The capability to master new computer concepts and applications.
- Strong client-focused business skills, including written and verbal communication skills, and the ability to engage in proposal writing and editing within a compliance services environment.
- Superior organizational and project management skills, attention to detail, and the ability to multi-task in a fast-paced environment with accuracy in meeting tight deadlines.
- The competency to organize and prioritize assigned tasks, adapt to rapidly shifting priorities, and meet deadlines.
- Initiative in creating solution-oriented improvements in existing processes, procedures, and practices.
- The ability to work independently while thriving in a collaborative, entrepreneurial, team-based culture, supporting and promoting an atmosphere of mutual respect with a “can-do” attitude.
- Demonstrated resourcefulness and self-directed behavior, with a talent for active listening.
- Working knowledge of MS Word, Excel, PowerPoint (including substantive PPT design experience), and Outlook is required, with knowledge of Salesforce and design programs being a plus.
- Advanced knowledge of Adobe Connect, Zoom, Webex, and Teams platforms.
- The ability to work overtime and overnight hours as needed.
Salary Information:
The salary for the Senior Training and Communications Specialist role varies by location, based on a 40-hour work week:
- Chicago: $94,000 to $104,000 annually
- Los Angeles: $98,000 to $108,000 annually
- Sacramento: $94,000 to $104,000 annually
- San Francisco: $112,000 to $123,000 annually
- Seattle: $99,000 to $110,000 annually
- Washington, DC: $100,000 to $111,000 annually
An employee’s pay within the salary range will be based on numerous factors, including relevant education, qualifications, experience, skills, geographical location, and business or organizational needs. This job is also eligible for an annual merit increase and bonus pay.
