Job Title: Tax and Wealth Planning Client Service Specialist (Legal Administrative Assistant)

Job Responsibilities:

As a member of the Client Services Team, the Client Service Specialist (CSS) plays a crucial role in providing legal administrative support to a team of attorneys. This involves performing complex administrative tasks that require specialized knowledge of the assigned practice areas. The CSS is expected to work collaboratively in a team-oriented environment to deliver the highest level of service to both internal and external clients. Key responsibilities include:

- Providing superior client service by answering and screening calls in a courteous and timely manner and offering other client assistance as needed.
- Collaborating closely with attorneys, paralegals, and clients to ensure seamless information transfer.
- Managing client-specific data to enhance the approach to dedicated interactions.
- Overseeing the workflow of assigned tasks and projects, prioritizing incoming tasks to meet deadlines, and coordinating with other support services to complete work.
- Managing attorney calendars, assisting in meeting deadlines—including tax-related deadlines—and organizing attorney and/or client travel arrangements.
- Preparing legal documents, memoranda, and correspondence from draft or dictated text.
- Creating, editing, formatting, and proofreading documents, spreadsheets, and presentations with high accuracy and attention to detail.
- Assisting multiple attorneys as a primary assignment and providing additional support, back-up, and coverage for the CSS assigned to the team.
- Transmitting legal documents, memoranda, and correspondence to clients, witnesses, and court officials via electronic filing, fax, email, mail, and/or messenger.
- Processing new business requests by working closely with the New Business Intake Team to open new matters, prepare and review conflict submissions, close matters, and maintain client case files using appropriate recordkeeping software.
- Calendaring all critical deadlines and other dates requiring action into a calendaring database and ensuring accurate calculations, including tax-related deadlines.

Collaboration and Teamwork:

- Proactively working with Legal Team Assistants to accomplish tasks.
- Collaborating with resources, including the Attorney Resource Center, as appropriate to complete projects and tasks.
- Adhering to all firm policies, procedures, standards, and guidelines while maintaining confidentiality.

Additional Functions:

- Performing other related duties as assigned.

Education and Experience Information:

Education:

- An Associate’s Degree is preferred, while a Bachelor’s Degree is considered a plus. Applicable work experience may be considered in lieu of a degree.

Experience:

- A minimum of three (3) years of related experience at a law firm or within a legal or corporate department is required.

Knowledge, Skills, and Abilities:

- The ability to effectively gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
- A high degree of initiative in managing multiple priorities simultaneously in a fast-paced, high-pressure, deadline-driven, and detail-oriented work environment, utilizing excellent judgment, initiative, decision-making skills, and the ability to work independently.
- Excellent verbal and written communication skills, along with high-level interpersonal skills required to handle sensitive and confidential situations.
- A highly professional demeanor and appearance, including possessing poise, tact, and diplomacy.
- The ability to maintain the highest level of confidentiality and provide outstanding customer service to internal and external clients/contacts.
- Proven proficiency in using legal terminology and experience working in related practice areas.
- Experience with court/administrative-related agency filings and meeting related deadlines.
- A high level of proficiency in using a variety of office equipment, including personal computers, telephones, transcription equipment, printers, and copiers.
- Keyboarding skills of 60 words per minute or higher are required.
- Intermediate-level working knowledge of the MS Office Suite, including Outlook, Word, Excel, and PowerPoint.
