Job Title: Assistant (Legal Secretary)
Job Responsibilities:
The Assistant (Legal Secretary) is tasked with providing support to assigned attorneys and/or senior management by performing a variety of legal secretarial and administrative duties. The responsibilities include:
- Answering multiple phone lines, screening calls, and directing them as appropriate
- Maintaining calendars, scheduling meetings, and arranging conference/teleconference calls
- Making travel, transportation, and accommodation arrangements via the Internet and/or through the law firm’s travel department
- Processing expenses through the law firm’s expense application (Chrome River)
- Preparing attorney diaries through the law firm diary application (Intapp)
- Utilizing various office machines to transmit data, print, duplicate, fax, and PDF documents
- Creating and maintaining attorney files using alphanumeric systems
- Coordinating with Conference Services for room reservations, food/beverages, and audio/visual equipment needs
- Preparing and processing client bills in collaboration with the Billing department
- Creating, revising, and proofreading letters and various legal documents
- Providing backup coverage for other assistants and receptionists
- Performing other duties as assigned
Education and Experience Information:
Required Education:
- High School diploma or GED equivalent
Preferred Education:
- Four-year college degree
Preferred Experience:
- 3 to 4 years of administrative experience in an office or professional services setting
Required Skills:
- Ability to effectively present information verbally and in writing
- Ability to type 50+ words per minute; skilled typing ability and knowledge of personal computers, software, and related applications
- Proficiency in Microsoft Word and Excel
- Basic math skills: addition, subtraction, multiplication, division
- Strong attention to detail
- Ability to work collaboratively in a team environment
- Ability to use diplomacy and discretion in relaying information
- Ability to organize, prioritize, plan, and multi-task work activities, effectively meeting deadlines in a high-pressure environment
Preferred Skills:
- Basic knowledge of Microsoft PowerPoint
Salary Information:
For New York only, the estimated base salary range for this position is $75,000 to $90,000 at the time of posting. The actual salary offered will depend on various factors, including the qualifications of the individual applicant, years of relevant experience, level of education attained, certifications or other professional licenses held, and the location from which they will be performing the job. This role is non-exempt, meaning it is eligible for overtime pay.
