Job Title: Resource Center Specialist
Job Responsibilities:
The Resource Center Specialist at the law firm is tasked with a variety of duties centered around document management and preparation. Key responsibilities include managing document preparation by converting, formatting, and revising MS Word, Excel, PowerPoint, and Adobe PDF files using firm-issued software. The specialist is expected to apply styles, cross-referencing, tables of contents/authorities, and appropriate pleading templates to legal documents. Furthermore, the role involves utilizing mail merge for labels and letters to ensure consistency with the firm's branding.
The specialist is responsible for creating, editing, and formatting diagrams, tables, charts, and spreadsheets, optimizing them for both printing and digital use. They must also compile and enhance Adobe PDFs with hyperlinking, e-binders, redaction, and custom headers/footers. Transcribing audio files using Olympus software and generating comparisons via Workshare, Literia, or MS Word Compare are also part of the responsibilities. Additionally, the role includes burning files to CDs/DVDs using Roxio software, processing DocuSign packets, and assisting with creating marketing materials such as Pitch proposals, Practice at a Glance, Face Sheets, and Placemats.
The specialist must maintain up-to-date knowledge of firm-wide technology and software advancements to serve as a subject matter expert in document preparation. They are responsible for ensuring all work requests are recorded in the ServiceNow application and for the complete accuracy of their work product. Assisting with administrative and legal staff across the firm as needed is also a crucial part of the role.
Education and Experience Information:
Candidates for the Resource Center Specialist position must have a high school diploma and five years of comparable experience in a legal Word Processing Center environment. Advanced knowledge of Microsoft Word, Excel, PowerPoint, and Outlook is required. Proficiency in iManage Work or familiarity with document management systems is necessary, and experience or knowledge of graphics programs such as Adobe Photoshop and Visio is a plus. Additionally, experience or knowledge of DocXtools, Workday, and DocuSign is considered advantageous. The ability to manage multiple projects and deadlines, being organized and detail-oriented, and the capacity to work both independently and collaboratively in a fast-paced, high-volume environment are essential skills for this role.
Other Information:
The core schedule for this position is Sunday through Wednesday, with availability to work flexible hours and some overtime required. Candidates must be able to work the following schedule: Sunday – Wednesday: 6:00 . – 3:30 .

Pay Transparency Range:
For New York, the anticipated full-time annualized salary range is $70,000 - $106,500. The salary offer will be contingent upon various factors, including but not limited to relevant experience, internal equity, market data, job location, and other job-related factors permitted by law.
