Job Title: Legal Secretary
Job Responsibilities:
- The Legal Secretary will support two principal attorneys and one associate attorney in the Insurance/Personal Injury Defense, Products Liability, and Construction teams.
- Responsibilities include calendaring and scheduling tasks to ensure all appointments and deadlines are met.
- Drafting and formatting cover letters, simple correspondence, case-related documents, and other document shells.
- Handling mailing, scanning, copying, and answering telephones to facilitate smooth office operations.
- Organizing and maintaining electronic data for easy access and retrieval.
- Entering time for attorneys’ billable hours into the accounting system accurately.
- E-filing in various federal and state jurisdictions, requiring familiarity with eFileTexas, CM/ECF, and PACER.
- Communicating verbally and in writing with clients, court personnel, and other counsel.
- Opening new matters/files and assisting with conflict checks to ensure no conflicts of interest.
- Maintaining master file lists for organized case management.
- Processing invoices and reimbursements, and reviewing bills for accuracy.
- Performing other duties as assigned by team members to support the overall function of the team.
Education and Experience Information:
- A minimum of 3-5 years of substantive legal secretarial/legal assistant work experience in a law firm environment is required, with a preference for a civil litigation background. A defense background is considered a plus.
- Professional experience and proficiency with Microsoft Outlook, Word, PowerPoint, and Excel are necessary.
- A strong knowledge of basic legal terminology and local court procedures is required.
- Proficiency with e-filing systems such as eFileTexas (state) and CM/ECF and PACER (federal) is essential.
- Basic/foundational knowledge of applicable Texas Rules of Civil Procedure.
- The candidate should be able to manage multiple priorities in a fast-paced litigation environment with professionalism and flexibility.
- Excellent written and verbal communication skills, including grammar, proofreading, and formatting.
- A high level of attention to detail, the ability to work independently, maintain client confidentiality, and possess strong organizational skills.
