Job Title: E-Billing Specialist
Job Responsibilities:
The E-Billing Specialist is responsible for overseeing and managing the electronic billing process for all clients who use e-billing at the law firm. The role involves ensuring timely and successful electronic transmission of all invoices, maintaining communication with billing attorneys and their legal administrative assistants (LAAs) regarding invoice statuses, and executing other accounting duties in line with established policies and procedures. This position is eligible for the firm's flexible work program.
The key responsibilities include:
- Preparing electronic invoices in accordance with the client's outside counsel guidelines and conducting quality control checks.
- Transmitting invoices electronically and monitoring their statuses.
- Communicating with billing attorneys and LAAs about rejections and adjustments, and resubmitting adjusted or rejected invoices.
- Updating billing rates and new timekeepers in client e-billing vendor sites.
- Inputting matter budgets and obtaining matter IDs from clients, billing attorneys, or LAAs needed for e-billing invoices.
- Onboarding clients migrating to e-billing, including setups in the Financial Management System and integrating with BillBlast.
- Onboarding the firm on new e-billing vendor sites as required and integrating with BillBlast.
- Updating e-billing data such as budgets, rates, timekeepers, and disbursement mapping.
- Identifying, recommending, and implementing enhancements and troubleshooting electronic billing issues.
- Communicating all e-billing guidelines and updates to the billing team and ensuring compliance with all e-billing guidelines across clients and e-billing systems.
- Meeting with billing attorneys or LAAs to discuss electronic billing processes when requested.
- Working with Collections to ensure proactive follow-up on aged invoices submitted electronically.
- Assisting with special projects as needed.
- Meeting the department's expectations to retrieve, read, and/or respond to firm and client-related e-mail messages during and outside of core business and scheduled work hours by connecting a personal mobile device to the firm’s network.
Education and Experience:
The position requires a high school diploma, with an accounting degree or college-level accounting classes preferred. Candidates should have a minimum of five years of related e-billing experience in a law firm. Prior experience with eBillingHub or BillBlast is preferred.
Salary Information:
The base salary for the E-Billing Specialist position is expected to be between $82,000 to $95,000 annually. The actual salary will be determined based on skills, experience, and other job-related factors, consistent with applicable law.
Additional Information:
The work environment is a professional office setting, which is usually quiet to moderate. The role requires the use of standard office equipment such as computers, phones, photocopiers, and filing cabinets. The position demands the ability to multi-task in a fast-paced work environment.
Physical demands include primarily sedentary work, although some duties may require lifting files, opening filing cabinets, bending or standing, reaching with arms and hands, climbing or balancing, and occasionally moving about to access office equipment and file cabinets. The role may require carrying or lifting items weighing up to 10 pounds.
