Legal Executive Assistant - Litigation
Job Responsibilities
The Legal Executive Assistant - Litigation is responsible for supporting multiple lawyers by proactively managing and attending to the day-to-day functions of a partner's practice. This role includes the following key responsibilities:
- Completing major assignments and a broad variety of tasks in support of the partner's practice.
- Exercising judgment and delegating administrative tasks and document work to other Legal Support Services team members and firm resources. Maintaining responsibility for and tracking all activities/tasks/projects to successful completion.
- Collaborating with peers to provide team support and coverage.
- Performing work that positively impacts the success of the partner's financial viability with client matters.
- Exercising discretion and professional judgment with confidential and sensitive matters.
- Planning, coordinating, and ensuring attorney Outlook calendars are maintained; identifying and resolving scheduling conflicts; coordinating complex travel itineraries.
- Working closely and proactively with attorneys to keep them informed of upcoming commitments and responsibilities, preparing materials in advance, and following up appropriately.
- Successfully completing critical aspects of deliverables with a proactive, hands-on approach, including drafting letters or other correspondence, preparing reports, and other tasks that facilitate the partner's ability to effectively build the practice.
- Handling extensive direct interaction with clients and outside business contacts.
- Preparing agendas, reports, and presentations; composing correspondence that is sometimes confidential.
- Developing and maintaining professional relationships and ensuring teams work together efficiently and effectively, providing clear direction and constructive feedback on projects and assignments.
- Coordinating department or practice group meetings, taking the lead in preparing logistics, and engaging appropriate parties to ensure a successful meeting.
- Participating in practice group and client team meetings, as appropriate. Preparing meeting agendas, reviewing meeting materials for accuracy and completeness, and distributing them to meeting attendees.
- Maintaining paper and electronic filing systems, helping to ensure compliance with Information Governance policies and procedures.
- Overseeing billing matters (prebilling tasks including all approval forms and collaboration correspondence, international billing, liaising with the biller regarding questions/issues, liaising with collections team); monitoring client budgets for reporting purposes.
- Performing a specific skill set within the litigation practice area, such as preparing legal documents, managing case files, scheduling court dates, and communicating with clients.
Education and Experience Information
Minimum Education
- High School Diploma or GED

- Bachelor’s Degree
Minimum Years of Experience
- 5 years of professional executive administrative experience supporting partners and/or executives.
Desired Skills
- Advanced computer skills in Excel, Word, and PowerPoint.
- Excellent communication and interpersonal skills required to interact with peers, lawyers, clients, business professionals, and various firm departments on a regular basis.
- Solid organizational skills required to manage multiple high-priority projects at one time.
- Excellent time management skills necessary and the ability to work effectively in a fast-paced environment.
- Strong work ethic and a flexible, dependable, and positive attitude.
- Must maintain confidentiality and demonstrate good professional judgment.
Salary Information
The firm's expected hiring range for this position is - per hour, depending on the candidate’s geographic market location. Non-exempt positions will be paid on an hourly basis and receive overtime pay in accordance with applicable laws. The compensation offered will also depend on factors including the candidate’s experience, skills, educational and professional background, and overall qualifications. A comprehensive package of benefits is offered, including medical/dental/vision insurance, and 401(k).

Physical Demands
Sedentary work involves exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
Work Environment
The individual selected for this position may have the opportunity for a hybrid work arrangement comprised of remote and in-office work, determined in coordination with the hiring manager or supervisor and subject to modification at the firm’s discretion.
