Job Responsibilities
The HR Administrator is responsible for providing comprehensive administrative support to the Human Resources department. The primary focus is on the administration of performance management processes, HRIS data management and maintenance, reporting, compliance, recordkeeping, and other data-driven tasks. Key responsibilities include:
- Preparing and executing HR documents that memorialize changes in an employee's status, compensation, location, title, or other updates.
- Processing changes within the firm's notification system to ensure all departments are informed of pertinent changes or departures.
- Calculating and adjusting annual PTO balances, unused PTO payouts, and rollovers when applicable.
- Entering, updating, and maintaining accurate employee data in the HRIS, ensuring data integrity and confidentiality.
- Preparing regular and ad-hoc HR reports, primarily for the monthly HR newsletter.
- Supporting data analysis projects to identify trends and insights for HR leadership.
- Completing the annual EEO-1 reporting.
- Overseeing the setup and administration of the support staff performance appraisal processes.
- Ensuring the timely completion, review, and return of performance evaluations.
- Managing the setup, roll-out, and completion of required compliance trainings, including but not limited to Harassment Prevention, Bystander Intervention, and various required California trainings.
- Assisting with audits and maintaining training records in line with compliance requirements.
- Maintaining the firm's organizational charts.
- Administering the firm's tuition reimbursement program.
- Maintaining and organizing electronic employee files and documentation.
- Creating and maintaining process documentation for areas of responsibility.
- Supporting HR projects and initiatives as needed.
Education and Experience Information
The HR Administrator must possess a Bachelor's degree in a relevant discipline or have equivalent work experience. A preference is given to candidates with 5 years of well-rounded HR experience. Essential skills for the role include exceptional attention to detail and organizational skills, integrity in handling sensitive information, and a commitment to ensuring complete and total accuracy across systems. Proficiency in HR software and Microsoft Office is required, with experience in ADP Workforce Now being highly preferred.
