Introduction

Baker, Donelson, Bearman, Caldwell, & Berkowitz, PC is currently seeking a Law Firm Experienced New Business Intake Specialist for various firm locations. This is a full-time, hybrid position with remote work options and in-office work days on the 2nd and 4th Wednesdays of each month. The ideal candidate should have NBI Software experience, strong proficiency in Microsoft Office Suite, and excellent communication, organizational, and computer skills. Job Summary

The Law Firm Experienced New Business Intake Specialist will report directly to the New Business Intake Manager and will be part of the Revenue Services Department. The main responsibilities of this position include producing conflict reports, client-matter openings, and edits, maintaining firm databases, and handling special projects as assigned. The ideal candidate should be detail-oriented, able to multi-task, and work well in a fast-paced environment. This position is open to candidates residing in Atlanta, Baltimore, Charleston, Charlotte, Chattanooga, Columbia, Ft. Lauderdale, Johnson City, Knoxville, Orlando, Raleigh, or Tallahassee areas.

Key Responsibilities

- Producing conflict reports, client-matter openings, and edits
- Creating client-matter numbers and distributing conflict reports to the Centralized Conflicts Review Department
- Processing conflict reports for potential new hires
- Reviewing client engagement letters
- Maintaining firm databases by entering, updating, and retrieving data
- Creating Excel spreadsheets for importing client-matter information and conflict parties
- Adhering to departmental policies and procedures
- Researching and answering questions for internal clients
- Handling other job-related duties and special projects as assigned

Required Skills and Experience

- Must have NBI Software experience and strong proficiency in Microsoft Office Suite
- Excellent verbal and written communication skills
- Ability to interact across departmental divisions
- Strong analytical, organizational, interpersonal, and presentation skills
- Ability to multi-task, work under pressure, and balance multiple competing priorities
- Ability to analyze complex problems and recommend/implement solutions
- Ability to exercise judgment and discretion in establishing and maintaining good working relationships with attorneys and staff
- Quick learner, flexible, and strategic thinker
- Ability to work independently and in teams, share information, support colleagues, and encourage participation
- Enthusiastic, self-motivated, and effective under pressure
- Strong work ethic and attention to detail and accuracy
- Must be authorized to work in the United States
