Job Title: Executive Legal Assistant
Job Responsibilities:
- The Executive Legal Assistant will support a dynamic team of attorneys, including four Partners, by providing high-level administrative assistance.
- The role involves managing all aspects of general administrative functions in a fast-paced environment, ensuring deadlines are met and confidentiality is maintained.
- Key responsibilities include proofreading and editing documents, compiling and organizing information for presentation to Boards of Trustees, and ensuring accurate and timely completion of various quarterly and annual insurance renewals.
- The position also requires maintenance of both physical and electronic files.
- The candidate must be able to coordinate calendars and schedules, follow up on action items, and adapt to last-minute changes.
- Attention to detail is crucial for composing, typing, and proofing materials, establishing priorities, flagging items for attorney review, and meeting deadlines.
- The Executive Legal Assistant will prepare physical and electronic files and agendas for meetings, as well as track and handle Board and Committee minutes.
- The role involves managing multiple tasks effectively, even with interruptions, and anticipating the requirements of the attorneys and firm clients.
- The candidate should be willing to take charge of additional duties as assigned and demonstrate initiative and willingness to assume additional responsibilities, make decisions, and exercise sound judgment beyond the scope of the job description.
Education and Experience Information:
- The candidate must have proven experience managing highly confidential and sensitive information.
- The role requires someone who is detail-oriented, comfortable juggling tasks from routine to extraordinary, and possesses a demonstrated ability to work efficiently in a fast-paced environment with a proactive and positive attitude.
- The candidate should have the ability to manage multiple projects simultaneously and meet multiple deadlines.
- Excellent communication skills are necessary to effectively interact with high-level professionals and administrative team members.
- Demonstrated expertise with Microsoft Outlook, Excel, and Word is required.
- Experience with document management systems is a plus.
Salary Information:
- The firm offers a competitive salary ranging from $60, to $68, per year.
