Job Title: Information Governance Specialist

Job Responsibilities:
The Information Governance (IG) Specialist plays a critical role within the law firm's department, working under the direct supervision of the regional IG manager. The specialist is responsible for the following key functions:

1. Management of Electronic and Physical File Content:
- Assist with the storage, retrieval, scanning, and retention of electronic client matter data.
- Process incoming electronic file materials by integrating them into existing electronic workspaces or creating new folders.
- Handle the import and export of electronic client matter data.
- Monitor email traffic for notifications related to new matters, changes, or closures.
- Manage incoming physical file materials and maintain organized and accurate physical files.
- Conduct periodic barcode scans of files in various locations and update file location information in the records management system (RM system).
- Prepare closed matter files for shipment to offsite storage and manage the recall and return of boxes as needed.

2. Disposition of Client/Matter Files:
- Process files for specified matters for transfer to clients or other law firms, setting dispositions in the RM system.
- Assist in reviewing client matter files in preparation for deletion and destruction according to the firm's retention policy.

3. RM and DM System Support:
- Provide guidance to lawyers and staff on using the RM and DM systems, including file categorization, organization, and system navigation.
- Address technical questions escalated from IT and report system errors to the regional manager.

4. Administrative Support:
- Order records supplies as needed.
- Assist with managing relationships with off-site storage and document shredding vendors.

5. Other Duties & Responsibilities:
- Work independently on special projects as assigned by the manager.
- Assist other department staff with overflow work as directed by the regional manager.

Education and Experience Information:

- Experience: A minimum of three (3) years of work experience in information governance or records management is required.
- Preferred: Experience with iManage Work 10, iRM, CAM, Power Desktop, and database applications. Experience in a law firm or corporate legal environment is also preferred.
