Job Title: Information Governance Specialist

Job Responsibilities:

The Information Governance Specialist (IGS) will play a vital role in the strategy and execution of the Information Governance Program at the law firm. The primary responsibilities include ensuring compliance with privacy, confidentiality, and information-security laws, regulations, client requirements, and firm objectives. The IGS will have extensive knowledge of electronic legal recordkeeping and experience with technology solutions related to information management.

Key responsibilities include:

- Exercising good judgment to ensure firm policies and procedures are adhered to, considering ethical, legal, and client obligations in data management.
- Collaborating with leadership and firm stakeholders to support the global program, assessing needs, identifying gaps, and recommending improvements.
- Coordinating file release and intake by working with IG leads, lawyers, IT staff, and external parties to securely transfer files.
- Supporting the implementation of records retention and disposition activities per the Global Records Management Policy.
- Advising on the departure process, including task assignment, quality control, records maintenance, and risk mitigation.
- Providing guidance for legacy data retention projects related to client and firm data.
- Conducting data analysis, proposing solutions for unstructured data remediation, and migrating data as needed.
- Often serving as project lead, allocating work, and monitoring work quality.
- Auditing information governance and records management processes for accuracy and compliance.
- Advising firm personnel on appropriate data storage locations.
- Driving changes in working practices and firm culture to promote electronic recordkeeping practices.
- Identifying opportunities to increase document management system (DMS) usage, security, and compliance.
- Educating attorneys and staff about effective information governance practices.
- Staying updated on industry best practices and new developments in information governance and records management.
- Performing other duties as assigned to meet firm objectives.

Education and Experience Information:

Education/Training/Certifications:

- A Bachelor's degree is required, with consideration given to a wide range of disciplines, including information technology, legal, risk management, library sciences, compliance, information management, and records management.
- Professional certifications related to information governance, such as Information Governance Professional (IGP), Certified Records Manager (CRM), Enterprise Content Manager (ECM), Project Management Professional (PMP), are desirable.
- Data privacy qualifications such as CIPM, CIPP/E, and/or CIPP/US are desirable.

Professional Experience:

- A minimum of 5 years of relevant experience is required, preferably at a law firm.
- Experience with information governance systems, business and workflow analysis, and functionality testing is required.
- Functional expertise in information governance principles related to managing, protecting, and securing client matter information is essential.
- Demonstrated experience in project coordination is required.

Technical Skills:

- Proficiency in Microsoft Office products (Outlook, Word, Excel, Visio, Teams, SharePoint) is required.
- Expertise with Microsoft SQL reporting services and Power BI is a plus.
- Experience with enterprise technology solutions for managing both physical and electronic information, such as iManage, iManage Records Manager (IRM), and LegalKEY, is preferred.
- Experience conducting large-scale reviews of complex data sets and the ability to analyze data using various data reporting tools is beneficial.

Salary Information:

The typical pay scale for this position varies by location:

- New York: Between $94,500 and $125,000
- Chicago: Between $88,800 and $117,400
- Washington, .: Between $89,200 and $118,000
