Job Title: Builder Pre-Closer

Job Responsibilities:

The Builder Pre-Closer serves as the primary point of contact during the preparatory phase of real estate closings, ensuring a seamless and organized process. The core responsibilities include:

- Sending contracts to be opened or opening orders.
- Collecting and entering information from info sheets.
- Sending out buyer representation agreements/engagement letters.
- Ordering and/or confirming homeowner association (HOA) details.
- Requesting lien waivers if applicable.
- Ordering binders and processing lender title requests.
- Sending title work to lenders.
- Scheduling closings using CalendarWiz.
- Managing the builder inbox by saving title requests, title binders, and builder documents for attorney review.
- Managing assigned team tasks in the Qualia team queue.
- Identifying and escalating issues as necessary.

Due Diligence:

- Assisting in the due diligence process by ordering and/or reviewing HOAs, mortgage payoffs, surveys, inspections, and other relevant documentation.
- Identifying potential legal issues that may impact the transaction.

Communication with Stakeholders:

- Communicating with clients, real estate agents, lenders, and other stakeholders to gather necessary information and documentation.
- Facilitating smooth communication throughout the pre-closing process.

Closing Coordination:

- Collaborating with the closing team to coordinate pre-closing activities, ensuring all necessary documents are in order.
- Verifying that the closing file is complete and accurate.

Client Interaction:

- Interacting with clients to address questions, provide updates, and gather required information.
- Maintaining positive client relationships throughout the pre-closing phase.

Title Insurance Processing:

- Assisting in the processing/ordering of title insurance binders and policies to protect clients against potential title defects.
- Coordinating with title insurance companies to ensure accurate and timely issuance of title insurance binders.

File Management:

- Maintaining organized and up-to-date files for each real estate transaction.
- Ensuring that all documents and correspondence are properly filed/saved and accessible.

Collaboration with Attorneys:

- Collaborating with real estate attorneys to address legal issues and ensure that all legal requirements are met.
- Seeking guidance from attorneys on complex matters.

Time Management:

- Efficiently managing time to meet deadlines and keep the pre-closing process on schedule.
- Prioritizing tasks based on urgency and importance.

Problem-Solving:

- Identifying and addressing any challenges or issues that arise during the pre-closing phase.
- Working collaboratively to find solutions and ensure a smooth process.

Education and Experience Information:

Education:

- A high school education is required, and additional coursework or training in real estate law is beneficial.

Experience:

- Previous experience as a paralegal, preferably with a focus on real estate transactions, is helpful but not required.
- Familiarity with pre-closing processes is advantageous.

Legal Knowledge:

- A strong understanding of real estate law, particularly in the context of pre-closing activities, is essential.
