Job Responsibilities
The Legal Administrative Assistant will be tasked with a variety of core legal secretarial and administrative duties. These responsibilities include managing conflict checks, opening client matters, obtaining electronic approvals, and handling administrative tasks such as travel arrangements, calendaring, deposition coordination, and conference room reservations. The role also involves creating and editing complex documents, spreadsheets, and presentations, and providing technical assistance and troubleshooting when required. Additional responsibilities include cleaning and formatting scanned documents, proofreading work for accuracy, preparing and editing documents, maintaining files, and handling monthly client billing and pro formas. The assistant will also be responsible for filing electronic court documents, pleadings, and processing mail, while maintaining confidentiality of sensitive firm and client information. Collaboration with team members is essential to ensure all requests are completed successfully and meet the needs of both attorneys and the firm. Duties may be ongoing or ad-hoc.
Education and Experience Information
The ideal candidate for the Legal Administrative Assistant position should possess a minimum of 1 to 2 years of litigation experience in a mid to large-sized law firm. Proficiency in legal secretarial and administrative tasks is required. Candidates must be proficient in the Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, and should have experience with Intapp, iManage, Chrome River, as well as the ability to learn and adapt to new software programs. Exceptional organizational skills, effective prioritization, and the ability to thrive in a fast-paced environment are essential. Discretion and a commitment to confidentiality are of utmost importance. Excellent written, oral, and interpersonal communication skills are necessary to build strong relationships with attorneys, clients, and colleagues. The candidate must be able to work independently with some supervision and occasional overtime. A Bachelor's Degree is preferred, and having a Notary certification is a plus.
Salary Information
The salary for the Legal Administrative Assistant position in New York is dependent on experience and ranges from $80,000 to $100,000.
