Job Title: Litigation Legal Assistant
Job Responsibilities:
The Litigation Legal Assistant at the law firm is responsible for performing a variety of secretarial duties for assigned attorneys under general supervision and in accordance with established policies and procedures. Key responsibilities include:
- Supporting clients, attorneys, and staff by handling critical and detail-oriented administrative tasks.
- Operating office equipment such as computers, word processors, typewriters, transcribing dictation, photocopiers, fax machines, and telephones.
- Drafting correspondence, memoranda, and other legal documents.
- Communicating with attorneys and clients via email, fax, and telephone.
- Screening telephone calls and recording messages.
- Managing incoming and outgoing mail, ensuring timely delivery and routing to specific services as necessary.
- Opening new client files, conducting conflict of interest checks, and maintaining client and general files. This includes periodic reviews for storage or closure of older files.
- Receiving clients and visitors, maintaining good public relations, and observing confidentiality of attorney-client relationships.
- Processing bills, proofreading billing sheets, and reviewing and editing bills.
- Managing attorney expenses.
- Collaborating with administrative support staff, such as word processing and receptionists.
- Performing overload typing, filing, or photocopying as needed and as requested by attorneys or the personnel director.
- Maintaining attorney calendars by planning and scheduling conferences, teleconferences, depositions, and travel. This includes monitoring legal matters, fines, filing requirements, evidence-gathering, and anticipating changes in litigation or transaction preparation requirements.
- Managing the e-filing of documents in a timely manner.
- Representing attorneys by communicating and obtaining information, following up on delegated assignments, and knowing when to act or refer matters to attorneys.
Education and Experience Information:
The Litigation Legal Assistant position requires:
- The ability to read and write to proofread typed materials for grammatical, typographical, or spelling errors in routine law office correspondence and legal case matters.
- Non-complex arithmetic skills for verifying calculations on forms and documents, typically acquired through high school completion or equivalent.
- Approximately one to two years of job experience to understand law office policies and procedures and produce accurate legal documents with minimal supervision.
- The ability to transcribe legal documents, correspondence, and reports from rough drafts or transcription at a level of 70 words per minute.
- The ability to organize and prioritize numerous tasks and complete them under time constraints.
- Interpersonal skills necessary to effectively communicate and follow instructions from a diverse group of clients, attorneys, and staff, providing information with courtesy and tact.
- The ability to handle multiple tasks simultaneously with attention to detail.
- Occasionally working more than 40 hours per week, including irregular hours, to perform essential duties.
Salary Information:
The hourly range for the Litigation Legal Assistant position is USD to USD.
Working Conditions:
The position is based in a normal law office environment with little exposure to noise, dust, or temperature variations. The job may require a high level of mental effort and strain while producing a high volume of information and performing other essential duties.
