Job Title: Legal Secretary

Job Responsibilities:
The Legal Practice Assistant (LPA) in the Real Estate practice group at the law firm is tasked with providing comprehensive administrative support to attorneys and other timekeepers. The role involves a wide range of duties aimed at ensuring exceptional client satisfaction and efficient workflow within the department. Key responsibilities include:

- Performing specialized administrative tasks with strong technical proficiency, adhering to the firm's procedures.
- Developing a thorough understanding of department objectives and proactively addressing team needs.
- Coding and entering timekeeper's time and costs into the firm's time and billing system.
- Coordinating large volume client billing using advanced software, adhering to client-specific instructions, and accommodating multiple revisions.
- Supporting new client and business development by managing the opening and closing of new matters and handling conflicts of interest checks.
- Processing expense reimbursement requests and invoices.
- Serving as a knowledge resource on practice group requirements and firm policies, sharing insights to enhance processes.
- Managing client billing tasks, including invoice distribution and review, and staying updated on client billing requirements.
- Liaising with administrative departments to coordinate workflow support for attorneys.
- Preparing routine correspondence, managing mail, conducting general research, and maintaining files.
- Handling complex legal document edits.
- Managing calendar effectively, prioritizing meetings, resolving conflicts, and organizing schedule changes.
- Arranging domestic and international travel, and managing related expense reports.
- Collaborating with internal and external resources to complete projects or tasks.
- Managing information electronically through the firm’s database and records management systems.
- Providing overflow assistance to the administrative legal support team.
- Contributing to an environment of superior customer service, collaboration, and team spirit.

Knowledge, Skills, and Abilities:
Candidates for the Legal Practice Assistant position should demonstrate the following skills and abilities:

- A proactive and independent mindset with a willingness to continue learning and developing skills.
- Excellent written and verbal communication skills for effective interaction with firm personnel, clients, and vendors.
- Ability to deliver quality client service to both internal and external clients professionally.
- Competence in managing multiple projects in a deadline-driven environment.

- Ability to work effectively both independently and as part of a team to ensure consistent and efficient workflow processes.
- Strong grammar, punctuation, and proofreading skills.
- Flexibility to accept changing assignments and priorities.
- Ability to maintain confidentiality of attorney and client information.
- Proficiency in Microsoft Office Suite products.

Education and Experience:
The position requires:

- A Bachelor’s degree, or any combination of experience, education, or training that demonstrates the ability to perform the duties of the position.
- A minimum of five (5) years' experience, including billing and e-Billing, preferably within a law firm or similar professional services environment.

Salary Information:
Compensation for the Legal Practice Assistant role is dependent on factors such as position, location, education, training, and experience. The hiring salary range is between $70, and $90,.
