Job Title: Legal Administrative Assistant – Family Law & Fiduciary Litigation

Job Responsibilities:
As a Legal Administrative Assistant in the Family Law & Fiduciary Litigation practice area at a law firm, you will be entrusted with a range of responsibilities aimed at supporting attorneys and staff in their daily administrative tasks. Key duties include:

- Managing and coordinating attorney schedules and calendars, which encompass appointments, meetings, court appearances, and travel arrangements.
- Preparing, proofreading, and formatting legal documents, correspondence, and reports with precision and attention to detail.
- Assisting attorneys with case management, including the organization and maintenance of case files.
- Preparing legal documents such as pleadings, e-filings, motions, and correspondence, ensuring accuracy and adherence to legal procedures.
- Maintaining electronic and physical filing systems to ensure documents are organized and easily accessible.
- Assisting with billing and invoicing processes, including time entry and addressing client billing inquiries.
- Providing general administrative support, including answering phones, greeting clients, and handling incoming and outgoing mail.
- Covering reception desk duties, including meeting and greeting clients.
- Performing other duties specific to the role as assigned.

Education and Experience Information:
- A Bachelor’s degree is preferred but not required for this position.
- Candidates should have 1-3 years of experience working in a law firm.
- Strong organizational skills and the ability to prioritize tasks and manage multiple deadlines effectively are essential.
- Candidates should possess excellent written and verbal communication skills, with a keen eye for detail.
- Strong client service skills are required.
- Advanced computer skills are necessary, including experience with Microsoft Office (Word, Outlook, Excel, PowerPoint), Kofax Power PDF or similar PDF programs, BigHand Create and Hyperstyles or similar Styles and Templates software, and NetDocs. A willingness and ability to learn different technologies is also important.
- The ability to maintain confidentiality and handle sensitive information with discretion is crucial.
- Enthusiasm for learning and a willingness to adapt to changing priorities and workflows are important attributes.
