Job Title: Paralegal Department Administrator
Job Responsibilities:
1. Professional Development
- Lead strategic planning and execution for professional development and training programs within the Paralegal Department.
- Conduct needs assessments, set training objectives, and ensure alignment with organizational goals and legal standards.
- Regularly evaluate program effectiveness and make data-driven adjustments.
- Design and implement weekly training sessions focusing on foundational skills and emerging legal trends.
- Oversee specialized litigation training, including Cite-Checking, Bluebook, and Table of Authorities.
- Curate and manage LinkedIn Learning paths tailored to individual and departmental needs.
2. Workload Management
- Compile and present biweekly reports for managerial review, covering administrative time, pro bono hours, client hours, and more.
- Manage the Paralegal Productivity Bonus Program, ensuring accurate tracking and rewarding of productivity metrics.
- Monitor daily time entries for accuracy and compliance, and provide training on time entry policies.
- Analyze overtime patterns and implement strategies for workload optimization.
- Facilitate assignment sourcing and coordination for optimal workload distribution.
- Prepare comprehensive monthly reports on hours targets and performance trends.
3. Performance Evaluations
- Support the annual paralegal performance evaluation process with data management and logistical support.
- Facilitate feedback collection from attorneys for each department member.
4. Other Duties
- Oversee the maintenance and updating of the Approved Vendor list.
- Stay informed on Paralegal regulations and provide training to ensure compliance.
- Oversee timesheet review and management for consistency and alignment with firm systems.
- Lead process improvement initiatives to enhance efficiency and effectiveness.
- Maintain and update the Paralegal Department Manual.
Education and Experience Information:
- Bachelor’s degree required, with an advanced degree or certification in a related field preferred.
- Minimum of five years of litigation paralegal experience or equivalent in a law firm or legal services environment.
- Experience in Cite-Checking and Bluebook required.
- Two years in a supervisory or coordination capacity preferred.
- Experience in a large law firm is preferred.
Knowledge/Skills/Abilities:
- Extensive litigation paralegal experience, including Cite Checking, Bluebook, and Trial Site Coordination.
- Exceptional organizational and interpersonal skills.
- Strong analytical skills and attention to detail.
- Ability to thrive in a fast-paced environment and manage multiple requests.
- Proficiency in Microsoft Office applications.
- In-depth knowledge of State and Federal court rules.
- High-level understanding of processes and procedures in each of the law firm’s Practice Areas.
- Clear and informative writing skills.
Salary Information:
The annualized good faith base salary range for this position in Los Angeles and San Francisco, CA is a minimum of $100,000 to a maximum of $140,000 per year. The actual salary rate offered will depend on factors such as years of relevant experience, education, applicable certifications, and other relevant professional licenses held, and the candidate’s overall qualifications for the position as assessed by the law firm.
