Real Estate Legal Secretary The candidate handles complex and specialized secretarial and clerical support activities related to the specific work and function of the timekeeper(s) to whom they are assigned, in a timely and accurate manner. Provides secretarial support to assignments including, but not limited to, transcribing dictation tapes, typing correspondence, reports, memoranda and/or other documents and submitting same for review; revising, proofreading, assembling and distributing prepared material as necessary in an accurate and timely manner. Reviews and routes incoming correspondence. Creates and maintains well-organized and timely client files (hard copies and electronic); resource materials and administrative files (. CLE) and indexes. Performs electronic filing of court documents (., County, State, Federal and/or Appellate Courts.). Screens and routes telephone calls, and receives and directs clients. Schedules and confirms appointments in a proactive manner. Ensures guests are registered visitors with the building. Schedules conference rooms and guest offices using the Firm scheduling software. Input attorney's daily billable time in accordance with the Firm's policy on Timekeeping & Billing. Prepares expense reports for review and submission. Monitors case deadlines and maintain case calendar utilizing Firm docketing system. Communicates and interacts appropriately with internal and external clients to deliver a high level of customer service, consistent with the Firm's "First in Service" philosophy. Reviews pro formas for billings received from the Accounting Department to clients for services rendered and complete complex clerical procedures in connection therewith. Coordinates domestic and international travel arrangements and tracks travel expenses for timely reimbursement. Proactively participates as a member of the practice group support coverage team. Mandatory successful completion of the Legal Technology Core Competencies Certification Coalition (LTC4) Program. Perform additional office support duties as assigned/requested. May require overtime or weekend hours. Must have high School Diploma degree. Should have 1-3 years of legal secretarial experience.
