Job Title: Receptionist/Legal Assistant
Job Responsibilities:
- Greet and welcome visitors in a professional and friendly manner, ensuring that the first impression is positive and reflective of the law firm's values.
- Maintain organization and professionalism, which are of utmost importance in the law firm environment.
- Schedule appointments and manage the reception area efficiently to ensure smooth operation of the office.
- Keep the front desk area clean and organized, creating a welcoming atmosphere for clients and visitors.
- Handle all incoming and outgoing mail, packages, and deliveries to ensure timely communication and distribution.
- Assist with various administrative tasks such as filing, photocopying, and data entry to support the day-to-day operations of the law firm.
- Provide general information to clients, customers, and staff members, acting as a reliable point of contact.
- Transcribe documents or messages as needed to ensure accurate and timely communication.
- Meet and discuss cases with clients, offering assistance and support as required.
- Develop and learn specific sales skills and tactics utilized in the legal industry to sell the law firm’s services and close leads.
- Educate potential clients on the services and benefits offered by the law firm using proprietary training and product knowledge.
- Possess and foster a growth mindset, identifying and creatively solving obstacles while always maintaining a positive attitude and demeanor.
- Answer inbound calls and perform outbound calls to screen prospective clients for qualification, ensuring effective communication and client engagement.
- Send retainer agreements for countersignature via the law firm’s CRM and record deal information and all attached documents to OneDrive for attorneys for transfer to the legal department.
- Perform outbound outreach to potential clients via all contact methods (phone, email, text) to communicate needs to complete files (documents, information, etc.) and retain the clients.
Education and Experience Information:
- Candidates must be fluent in Spanish, as this is a preferred requirement.
- Knowledge of front desk procedures and phone systems is essential.
- Excellent communication skills, both verbal and written, are necessary for effective interaction with clients and staff.
- Strong organizational skills with the ability to multitask effectively are required.
- Attention to detail and accuracy in proofreading documents are crucial for maintaining the integrity of legal documents.
- Professional phone etiquette and customer service skills are necessary to ensure a high level of client satisfaction.
- Proficiency in using computer software such as Microsoft Office Suite is required.
Salary Information:
- The position offers a pay range of to per hour, depending on experience and qualifications.
- The median pay is per hour.
- The job is a full-time position with a schedule of 8-hour shifts, Monday to Friday, with no weekend work required.
- The ability to commute to Glendale, CA 91201 is required, and candidates must be willing to relocate before starting work if necessary.
- The work location is in person at the law firm.
