Practice Group: Employment, Labor, Benefits and Immigration

Location: Philadelphia

Summary: The Legal Assistant will be responsible for providing a wide range of administrative support to attorneys in the office.

Essential Functions:

• Proofreading, formatting and editing legal documents including subpoenas, briefs, motions, pleadings, table of contents, collective bargaining agreements, etc.
• Filing legal documents (E-Filing)
• Processing and coordinating client bills
• Setting up and maintaining databases and files
• Handling incoming and outgoing mail
• Maintaining schedules and calendars including court diaries
• Receiving clients and visitors and maintaining good public relations with clients; observes confidentiality of attorney/client relationships
• Maintains current knowledge of clients and contacts
• Organizes and coordinates legal meetings including client interviews, hearings and depositions.
• Recording time in DTE time entry system
• Preparing and managing correspondence
• Opening new files, requesting conflict of interest checks with record center and maintaining on-line and hard copy files
• Coordinating billing, proofing billing sheets, and reviewing and editing bills
• Making appointments and assisting with travel arrangements
• Other administrative duties as required including supporting the firm’s employment law training programs with attendee correspondence and outreach, certificate distribution, updating program information, etc.

Qualifications:

• High school diploma or equivalent required
• Minimum five years’ experience in a legal environment supporting litigation attorneys (employment litigation is a plus).
• Experience supporting a senior level executive desired
• Ability to organize and prioritize within strict time constraints and handle sensitive and confidential information discreetly is required
• Working knowledge of local, state and federal filing rules, legal procedures and terminology
• Transcription and typing skills (70 .) for legal documents, correspondence, rough draft and dictation.
• Working knowledge of MS Office (Word, Power Point, Excel); E-filing; Chrome River is a plus
• Strong interpersonal skills to communicate effectively in person and electronically.
• Ability to follow instructions from a diverse group of clients and attorneys
