Job Title: Executive Assistant
Job Responsibilities:
As an Executive Assistant at the company, you will provide essential administrative support to the Legal leadership team. The role demands exceptional administrative and organizational skills, the ability to thrive in a collaborative team environment, and the capability to effectively balance multiple priorities. Key responsibilities include:
- Arranging domestic and international travel, working with an external travel agency and online travel system (Concur), creating travel itineraries, handling changes as requested, and managing any necessary travel documents such as visas and passports.
- Managing calendars, including scheduling and organizing all meetings.
- Organizing onsite meetings, including ordering food, reserving meeting rooms, and setting up meeting rooms.
- Completing special projects and other related duties as required and assigned.
- Maintaining organized files and records to ensure easy access to information when needed.
- Reviewing and prioritizing incoming mail/email requests and legal notices to determine urgency and transferring them to appropriate individuals.
- Assisting on litigation matters, including maintaining dockets, case summaries/reports, and files; preparing legal holds; and collecting corporate records during the discovery phase.
- Assisting in responding to third-party subpoenas and requests for information, including assisting with bates labeling, redaction, and filing.
- Assisting with the management and organization of contract documents.
Education and Experience Information:
Basic Qualifications:
- A minimum of 3 years of executive administrative experience in a corporate setting with an . degree or higher. Candidates without an Associate's Degree or higher may be considered.
- Proven ability to exercise sound judgment in various situations and handle confidential matters with the utmost discretion.
- Strong written and verbal communication skills, including proficiency in proofreading and editing documents.
- Exceptional organizational skills with keen attention to detail, enabling effective management of files, records, and calendars.
- Ability to prioritize conflicting needs, manage multiple tasks simultaneously, and respond proactively to urgent requests.
- Strong interpersonal skills with the ability to work cooperatively in a team environment and build relationships with a diverse mix of employees and external vendors.
- Experience in arranging domestic and international travel, including managing itineraries and travel documents.
- Demonstrated ability to suggest and implement new processes and procedures to enhance workflow efficiency.
- Flexibility to fill in support gaps as needed and adapt to changing priorities in a fast-paced environment.
Preferred Qualifications:
- Strong preference for experience supporting attorneys in a corporate legal environment or in a law firm litigation or corporate department.
