Job Title: Legal Secretary (Litigation)
Job Responsibilities:
The Legal Secretary at the law firm is responsible for providing high-level client service and support while consistently producing excellent work. The role involves maintaining a thorough knowledge of the law firm’s practice areas and specialized knowledge of assigned practices and clients to enhance communication between attorneys and their clients. Key responsibilities include:
- Creating, editing, and proofreading complex, practice-specific legal documents, forms, and correspondence to ensure accuracy and completeness.
- Managing client/matter lists and communication lists.
- Scheduling appointments and calendar dates using Outlook and maintaining contacts.
- Assisting with timenote entry, including inputting, editing, proofreading, and closing them daily.
- Using Intapp software to open new matters, prepare engagement letters, and process conflict reports.
- Collaborating with Client Account Manager and assigned timekeepers to manage the billing process in 3E software, including editing prebills, generating reports, and sending final invoices.
- Arranging conference calls, video conferences, and live meetings.
- Coordinating travel arrangements through the law firm’s travel vendor as requested.
- Preparing expense reimbursements, arranging for payment of invoices, and preparing check requests.
- Assisting in all phases of a case from inception through trial or resolution, including attendance and assistance at trial sites.
- Coordinating management of case documents, including organization, review, and production.
- Assisting with the preparation of court filings, confirming proper Bluebook citation, proofreading, and assembling exhibits and appendices.
- Supporting depositions, including preparation of witness files, exhibits, notices, and subpoenas.
- Assisting with trial preparation and logistics, including preparation of witness files and management of exhibits.
- Providing professional client relationship management with external clients.
- Creating, editing, and proofreading legal documents, forms, and correspondence to ensure accuracy and completeness.
- In collaboration with Paralegals, preparing or coordinating the preparation of Responses to Auditor Requests and assisting with Opinion Letters.
Education and Experience Information:
- High School Diploma required; Associate’s Degree preferred.
- Minimum of 3 years of recent Legal Secretarial experience.
- Experience working in a large law firm is preferred.
- Experience with litigation practices is required.
- Familiarity with 3E or similar financial systems.
- High proficiency with Windows-based software used by the firm, including MS Word, PowerPoint, Excel, Outlook, and Mac Pac.
- Working knowledge of database, time, and attendance tracking applications.
- Strong organizational skills with attention to detail.
- Excellent communication skills and the ability to build effective internal and external client relationships.
- Ability to interact effectively with all levels of management and staff and a variety of external entities, including clients and prospective clients.
- Excellent teamwork skills and a commitment to delivering client service by assisting co-workers.
Salary Information:
The salary range for the Legal Secretary position in New York is between $80,000 and $120,000. Additional compensation may include a discretionary bonus, overtime as applicable, health/welfare benefits, retirement contributions, paid holidays, and PTO. The salary range may vary based on factors such as local market data, an applicant's skills and prior relevant experience, and certain degrees, licensing, and certifications.
