Job Title: Mailroom Team Lead
Job Responsibilities:
The Mailroom Team Lead at the law firm is tasked with a variety of administrative duties to support the firm's operations. Key responsibilities include:
- Understanding and applying federal, state, and local laws and regulations relevant to the jurisdiction where tasks are performed.
- Familiarizing with the firm's policies, procedures, and client standards.
- Maintaining professional relationships with firm personnel across various departments and states.
- Responding promptly to instructions from various leaders within the firm, including attorneys, managers, and directors.
- Managing workflow by assigning tasks to team members, ensuring timely completion within designated service level agreements (SLA), and communicating potential issues to leadership.
- Reviewing and resolving issues in the log in a timely manner.
- Assisting in the maintenance and organization of account files and legal documents, ensuring compliance with firm policies.
- Handling mail, including opening, entering, and noting subsequent actions, as well as maintaining electronic filings and logs.
- Conducting clerical duties such as managing phone calls, corresponding with third parties, imaging documents upon intake, and executing outbound mailing procedures.
- Reviewing drafted correspondences and pleadings, assembling documentation, and ensuring quality.
- Training new personnel according to firm policies and procedures.
- Notifying leadership of concerns or priority case information as required.
- Assisting the Central Services Supervisor in preparing and providing feedback for personnel reviews.
- Working with leadership to optimize efficiencies and aiding central services support staff when needed.
- Monitoring and updating special instructions for mailings with leadership oversight.
Education and Experience Information:
