Job Title: IP Legal Practice Assistant
Job Responsibilities:
The IP Legal Practice Assistant plays a critical role in assisting partners and associates with . and foreign patent prosecution. Key responsibilities include:
- Assisting with all phases of patent applications, both domestic and international.
- Coordinating schedules and updating calendars.
- Arranging travel logistics and processing expense reports for reimbursement.
- Preparing and processing new matter openings and conducting conflicts checks.
- Monitoring and managing the patent prosecution docket for assigned timekeepers to ensure all deadlines are met, and communicating updates to the docketing team.
- Acting as a point of contact for status inquiries and general questions.
- Handling special projects and tasks as requested by attorneys.
- Preparing files and maintaining official correspondence in accordance with the firm's standards and procedures, which includes information disclosure statements, formality documents, foreign attorney instructions, office action responses, assignments, and fee payment instructions.
- Sending client reminders and reporting filings to clients.
- Performing additional duties as assigned.
Education and Experience Information:
- A Bachelor’s degree from an accredited college or university is preferred, but a combination of an Associate’s degree and applicable experience is also acceptable.
- Three to five years of formal patent prosecution experience is required.
- Experience as a patent assistant or secretary in a large law firm or IP law department is required, with experience in a multinational or global law firm considered a plus.
- A strong working knowledge of . and international patent law and practice, including filings, is essential. Familiarity with CPI docketing database or other comparable patent docketing databases is necessary.
- Superior customer service skills are required.
- The ability to handle confidential and sensitive information with appropriate discretion is essential.
- Excellent writing and organizational skills are necessary, as well as the ability to manage multiple projects and prioritize dockets and deadlines.
- The ability to anticipate problems and exercise independent judgment for resolution is important.
- Proficiency in Microsoft Office and the ability to quickly learn and efficiently use firm technology is required.
- The ability to work autonomously and within a team structure is critical. Effective collaboration with attorneys, clients, co-workers, and administrators is necessary, along with the ability to exercise tact, courtesy, and diplomacy in all interpersonal dealings.
Salary Information:
This position is a hybrid role requiring on-site presence three days per week. The salary range for this position varies depending on geographic location and factors such as experience, internal equity, market data, and job-related considerations. The salary range is from $55,000 to $80,000. Offers are contingent upon these factors.
