Job Title: Shared Services Assistant
Job Responsibilities:
The Shared Services Assistant at the law firm is tasked with managing, troubleshooting, organizing, and creating documents for lawyers, paralegals, and allied professionals. This role ensures seamless support across a global 24/7/365 environment. Responsibilities include:
- Creating, formatting, and revising documents in Word, Excel, PowerPoint, and PDF to meet various style requirements.
- Troubleshooting and repairing problematic documents, including support via remote assistance.
- Adding and updating cross-references, tables of contents, tables of authority, and automatic numbering.
- Generating comparison documents.
- Transcribing audio files, handwritten notes, and dictations.
- Saving and managing files within the file management system.
- Creating diagrams and charts in Word and PowerPoint.
- Assisting with mailings by creating mail merged documents and labels.
- Performing word-for-word checks of documents converted from PDFs for accuracy.
- Recording time entries for lawyers, paralegals, and other timekeepers.
- Assisting with data entry, formulas, and sorting features via Excel.
- Creating tickets for and managing the request queue.
Education and Experience Information:
- A high school diploma or equivalent is required, though a college degree or some college experience is preferred.
- Prior relevant experience in a professional environment is required, with a strong preference for legal industry experience.
- Advanced knowledge of MS Office and Adobe Acrobat Professional is required.
- The candidate must demonstrate the ability to produce accurate documents in a fast-paced, 24/7/365 deadline-oriented environment.
- Excellent verbal and written communication skills are essential.
- A demonstrated commitment to confidentiality, integrity, and sensitivity is required.
- Dedication to delivering high-quality customer service is necessary.
- The ability to understand and follow specific, detailed instructions is essential.

Salary Information:
The compensation salary for the Shared Services Assistant position ranges from $48,000 to $72,000. The specific salary will be determined during the interview process and will vary based on multiple factors, including prior experience, relevant expertise, current business needs, and market factors.
