Job Title: Legal Secretary

Job Responsibilities:
The Legal Secretary at the organization is responsible for performing a full range of legal secretarial duties independently under the supervision of the Assistant Chief Counsel. Key responsibilities include:

- Preparing, formatting, editing, and processing a variety of legal documents such as medicals, exhibits, briefs, motions, notices, petitions, and depositions in multiple courts or jurisdictions.
- Coordinating and scheduling court-related matters and services in compliance with jurisdictional requirements.
- Finalizing documents for attorneys in preparation for litigation or other proceedings.
- Handling telephone and electronic communication to determine the necessary course of action and providing quality customer service daily.
- Processing incoming mail, email, phone calls, and faxes timely.
- Serving as a lead person to other clerical staff, including Senior Legal Typists, and serving as backup for the Legal Support Supervisor in non-supervisory tasks.

The role also requires maintaining regular and predictable attendance, defending the organization against fraudulent activities, maintaining customer relationships, and following the principles of the organization’s Equal Employment Opportunity guidelines.

Education and Experience Information:
Minimum Qualifications for the Legal Secretary position include:

- Either one year of experience performing the duties of a Senior Legal Typist, Range B, in the California state service.
- Or two years of experience in a private law firm, corporate law office, or a legal program in a governmental agency performing a full range of legal secretarial duties, which requires the preparation of legal documents for filing and service.
- Academic education above the 12th grade may substitute for six months of the required experience on the basis of either one year of general education being equivalent to three months of the required experience, or one year of education of a business or commercial nature being equivalent to six months of the required experience.
- Completion of a certificated legal secretarial program may substitute for one year of the required experience.

Knowledge, Skills, and Abilities required include:

- Proficient knowledge of legal procedures for preparing, formatting, filing, and serving legal documents in multiple courts or jurisdictions.
- Proficient knowledge of modern office methods, supplies, and equipment.
- Ability to independently perform complex clerical and legal secretarial work.
- Ability to coordinate and schedule legal services, screen mail, visitors, and telephone calls, and take appropriate action.
- Ability to maintain case and administrative files and records, and act in a lead capacity over other Legal Secretaries and Senior Legal Typists.

Salary Information:
The salary range for the Legal Secretary position is $4, - $5, per month. New to state candidates will be hired into the minimum salary of the classification or minimum of the alternate salary range when applicable. Placement to alternate salary range may be based on education or experience identified in the state application.

Additional Information:
The position requires a background investigation to be cleared prior to being hired. Candidates must reside in California to be eligible for this appointment.
